# How to Choose a Virtual CFO Provider in the USA

Canonical: https://finbryn.com/us/guides/how-to-choose-virtual-cfo-provider

Finbryn provides virtual CFO services for US small and mid-sized businesses, building cash forecasts, budgets and investor reports from your own QuickBooks Online, Xero or NetSuite books, from $1,500 per month. To choose any provider, run twelve checks, starting with the written scope and the state of the books underneath (sources checked 2026-10-08).

## Key takeaways

- A virtual CFO provider isn't an audit firm. It isn't a tax signer or a placement agent either. Write down the monthly deliverables first: cash forecast, budget versus actual, KPI pack, lender or board reporting.

- "CFO" is a job title. The CPA is a state license, and NASBA's CPAverify (53 jurisdictions as of March 12, 2026) is where you confirm one. Tax work adds its own test: a PTIN and a named credentialed signer.

- A CFO makes management decisions, so your audit firm can't also be your CFO. The AICPA's 2025 independence guide bars its members from assuming management responsibilities for an attest client.

- SEC staff say a person or firm paid transaction-related compensation to raise capital or sell a company may need to register as a broker-dealer. Ask how any fee on a raise is calculated.

- BLS reports median pay of $166,570 for financial managers in May 2025. A retainer buys a slice of that role, so compare hours and deliverables, not salaries.

## Who provides virtual CFO services in the USA?

Virtual CFO providers come in a handful of shapes. Independent fractional CFOs work alone or with a small bench. Advisory boutiques sell finance leadership to startups and growing companies. Public accounting practices add advisory arms. Outsourced accounting firms put CFO tiers on top of bookkeeping, and Finbryn sits in that last group. None of these is a regulated category. The title "CFO" carries no license on its own.

The job itself is real and sizeable. BLS counts about 879,700 jobs for financial managers in 2025, with a median annual wage of $166,570 in May 2025, and notes that experienced financial managers may advance to chief financial officer. Plenty of businesses can't carry that salary, which is the gap part-time and remote CFO work fills.

This guide won't rank providers, because the right one depends on the state of your books and on what your lender or auditor requires. It gives twelve checks you can verify yourself, each with the primary source behind it, all opened on 2026-10-08.

## The 12 checks at a glance

Checks 1 to 4 settle what the provider is allowed to do for you. Checks 5 to 12 settle whether the work will hold up.

## Checks 1 to 4: scope, credentials, tax work and independence

**1. A written scope.** BLS describes financial managers as people who "create financial reports, direct investment activities, and develop plans for the long-term financial goals of their organization." A virtual CFO provider covers a slice of that, so name the slice. *Verify:* ask for one page that lists every monthly, quarterly and annual deliverable, with the person responsible for each. If the provider can't say what you'll receive in month two, there's no scope yet.

**2. The credentials claimed.** A CPA license comes from a state board, and each state board sets its own education requirements. BLS lists a bachelor's degree as the typical entry-level education for financial managers, so the title alone tells you the job, not a credential. *Verify:* confirm any CPA claim on [CPAverify](https://nasba.org/blog/2026/03/12/all-about-cpaverify/), which NASBA says draws on 53 jurisdictions and shows disciplinary markers. For any other credential, ask who awards it and check with that body.

**3. Tax work, if any.** The IRS says anyone can be a paid tax return preparer with a Preparer Tax Identification Number (PTIN), and its [Directory of Federal Tax Return Preparers](https://www.irs.gov/tax-professionals/choosing-a-tax-professional) lists preparers who hold recognized credentials or a filing season record of completion. [Circular 230](https://www.irs.gov/tax-professionals/circular-230-tax-professionals) governs practice before the IRS and applies mainly to attorneys, CPAs and enrolled agents. *Verify:* if the provider will prepare or sign anything that gets filed, ask for the PTIN, plus the name and credential of the person who signs. A CFO retainer shouldn't drift into a tax return without that name attached.

**4. Independence from your auditor.** A CFO makes management decisions. The AICPA's [Plain English Guide to Independence](https://pub.aicpa.org/codeofconduct/ethicsresources/Plain_English_Guide_to_Independence.pdf) (2025) says members "may not assume management responsibilities or even appear to assume management responsibilities" for an attest client, and it describes those responsibilities as running an entity, including significant decisions about how its resources are acquired, deployed and controlled. A public accounting firm that audits or reviews you therefore can't also be your CFO. *Verify:* ask whether the provider's firm, or an affiliate, is your auditor or reviewer. If it is, ask for the written independence analysis.

## Checks 5 to 8: the books, the deliverables, pay on a raise and who covers

**5. The books underneath.** A forecast is only as good as the ledger feeding it. *Verify:* ask for the last reconciled date of every bank and card account in your file before anyone builds a model. If an account is more than a month behind, the first deliverable is catch-up, not a forecast. [Monthly bookkeeping](/services/bookkeeping/monthly-bookkeeping) and [catch-up bookkeeping](/services/bookkeeping/catch-up-cleanup-bookkeeping) cover that layer, and a CFO engagement can sit on top of either.

**6. Deliverables you can inspect.** *Verify:* ask for redacted samples of the three documents you'll use most: a 13-week cash flow forecast, a budget-versus-actual report and a board or lender pack. Open the assumptions. Every driver should be a labeled input, and the file should show who changed what and when. The guides on the [13-week cash flow forecast](/guides/thirteen-week-cash-flow-forecast) and the [board reporting pack](/guides/board-reporting-pack-guide) show what a usable one contains.

**7. Pay on a raise or a sale.** A staff resource from the SEC's Office of the Advocate for Small Business Capital Formation says a person or firm may need to register as a broker-dealer if a company intends to pay them transaction-related compensation to help raise capital from investors or sell the company. It's staff guidance, not a rule. *Verify:* ask how any fee on a financing or sale is calculated. A monthly retainer for building the model and the data room is a different arrangement from a percentage of the money raised. If the fee depends on closing, ask for the provider's broker-dealer registration and take the contract to your attorney.

**8. A named lead and a named backup.** Fractional CFOs often serve several companies at once, so continuity is a fair question. *Verify:* ask for two names, the lead and the person who covers, and ask how a handover is recorded. Get both names in the engagement letter.

## Checks 9 to 12: ownership, security, pricing and the exit pack

**9. Who owns the file and the models.** Intuit's [help article](https://quickbooks.intuit.com/learn-support/en-us/help-article/primary-administrator/change-primary-admin-user-quickbooks-online/L9TU91iOk_US_en_US), updated September 8, 2026, calls the QuickBooks Online primary admin "the main person who has access to every part of a QuickBooks account." That should be you. The same logic applies to forecasting models: they belong in a workbook or planning tool registered to your business, with the provider invited in. *Verify:* open Manage users, then ask where each model file is stored and whose account owns it.

**10. Data security.** A virtual CFO sees bank balances, payroll totals, cap tables and lender terms. The FTC Safeguards Rule, [16 CFR 314.4](https://www.ecfr.gov/current/title-16/section-314.4), is a fair yardstick even where it doesn't bind the provider. It asks for multi-factor authentication for anyone accessing an information system and for encryption of customer information in transit and at rest. It also wants a written incident response plan. A SOC 2 report is an examination performed by a CPA practice: Type 1 covers controls as of one date, Type 2 covers a period. *Verify:* ask for the written security program, the list of tools that touch your data and the latest SOC 2 Type 2 report if one exists.

**11. How the price is built.** Providers charge a monthly retainer, an hourly rate, a fixed project fee or, in some cases, a fee tied to a transaction. Finbryn's published rate for fractional CFO work starts from $1,500 per month on its [pricing page](/pricing). For scale, BLS puts median pay for financial managers at $166,570 (May 2025). Dividing that by the 70.0 percent wage share BLS reports for private-industry employer costs (June 2026) gives about $237,957 for a full-time hire, an illustration that leaves out recruiting and software. A retainer buys a slice of a CFO's time, so compare the hours and deliverables it covers, not the salary. *Verify:* get the scope, the included meetings or hours, the rate for work outside scope and the notice period in writing.

**12. The exit pack.** *Verify:* before you sign, ask what you receive when the engagement ends: every model with formulas open, the source data and assumption log, the last board pack and the data room index. The [IRS record retention guidance](https://www.irs.gov/businesses/small-businesses-self-employed/how-long-should-i-keep-records) (updated June 30, 2026) sets a 3-year baseline from filing for the records behind a return, so keep the workbooks that feed one at least that long.

## How the provider types compare

Cost figures appear only where an agency or the provider publishes them. Nothing here is a quote.

| Type | What you get | Who is accountable | Cost evidence (checked 2026-10-08) |
| --- | --- | --- | --- |
| In-house CFO or finance director | Full-time leadership on your payroll | You | BLS median pay for financial managers was $166,570 in May 2025. Dividing by the 70.0 percent wage share BLS reports for private industry (June 2026) gives about $237,957 a year, an illustration |
| Public accounting practice with an advisory arm | Planning and forecasting next to tax and attest services | The practice; it can't act as your CFO if it audits you | Not benchmarked here |
| Outsourced accounting firm with CFO tiers | Bookkeeping plus periodic finance reviews | The firm | Not benchmarked here; compare scope |
| Independent fractional CFO | One experienced person, often with several clients | The individual | Not benchmarked here; ask for a rate card |
| Finbryn, one option among these | Cash forecasting, budgeting, KPI design, investor and lender reporting and support through a raise or sale, built from your own books | Financial analysis and planning only: no tax signature, no attest work | From $1,500 per month, published on the [pricing page](/pricing) |

Match the type to the gap. A business with late books needs bookkeeping first. A business facing a lender's audit requirement needs a public accounting firm for the attest work and a CFO provider working next to it.

## Who Finbryn is not for

Finbryn is one option, and for some businesses it's the wrong one. Skip it if:

- You need statements that a CPA practice has reviewed or audited, because your lender or investor insists. That comes from an independent public accounting firm. Finbryn's virtual CFO work is financial analysis and planning.
- You want your tax return prepared and signed inside the CFO retainer. Tax preparation is a separate service, and a credentialed preparer signs the return. See [tax preparation support](/services/tax-preparation-support).
- You need someone to find investors or buyers for you. That's a placement job for a registered broker-dealer. Finbryn builds the models and reporting around a deal.
- You want an executive in your building five days a week managing staff. Finbryn works remotely, on a fractional basis.
- Your books are months behind. Fix that first, then add the CFO layer.

## A 30-minute call that tests any virtual CFO provider

Ask for these before the call: the one-page scope, a redacted forecast and board pack, the security summary and a sample engagement letter. Then use the half hour like this.

1. **Minutes 0 to 6.** Describe the decision you face next quarter, such as a raise, a lender renewal or a hiring plan. Ask what the provider would build first.
2. **Minutes 6 to 12.** Open the sample forecast. Ask which input moves cash most and who updates it each week.
3. **Minutes 12 to 18.** Credentials and independence. Ask who signs anything filed, who your auditor is and whether the provider or an affiliate touches attest work.
4. **Minutes 18 to 24.** Pay and cover. Ask how any fee on a raise works, who the backup is and how many companies the lead serves.
5. **Minutes 24 to 30.** Security and exit. Ask who holds admin on the file and the models, and what arrives on the last day.

Put the same questions to Finbryn. Its published scope is on the [virtual CFO and advisory page](/services/virtual-cfo-advisory), the rate on the [pricing page](/pricing) and the controls on the [security page](/security).

Ask whether the provider builds the [board reporting package](/services/month-end-close-reporting/board-packs) from your closed books.

## Frequently asked questions

**Q: What does a virtual CFO do that a bookkeeper doesn't?**

A: A bookkeeper records and reconciles transactions. A virtual CFO uses the closed books to forecast cash, build budgets, design KPIs and prepare lender or investor reports. That matches BLS's description of financial managers as people who create financial reports and plan long-term financial goals (Occupational Outlook Handbook, revised August 27, 2026).

**Q: Does a virtual CFO need to be a CPA?**

A: Not by title. BLS lists a bachelor's degree as typical entry-level education for financial managers, while the CPA is a state license. If a provider claims one, confirm it on NASBA's CPAverify, which draws on 53 jurisdictions (March 12, 2026). For any tax filing, ask for the PTIN and the signer's name as well.

**Q: Can my auditor also be my virtual CFO?**

A: Not safely. The AICPA's 2025 independence guide says its members may not assume management responsibilities for an attest client, and a CFO's role is management. Ask any audit firm that offers advisory work for its written independence analysis. Checked 2026-10-08.

**Q: Should I pay a virtual CFO a success fee on a raise?**

A: Be careful. SEC staff say a person or firm paid transaction-related compensation to help raise capital or sell a company may need to register as a broker-dealer. A retainer for models and reporting is a different arrangement. Ask your attorney before agreeing to a fee tied to closing. Checked 2026-10-08.

**Q: How much does a virtual CFO cost in the USA?**

A: No official source publishes an average, so this guide doesn't state one. Finbryn's published fractional CFO rate starts from $1,500 per month (pricing page, checked 2026-10-08). For comparison, BLS puts median pay for a full-time financial manager at $166,570 (May 2025).

**Q: Does Finbryn's virtual CFO service include tax returns or audits?**

A: No. It is financial analysis and planning. Tax return preparation is a separate service, and a credentialed preparer signs the return. Finbryn does no audit or other attest work. Checked 2026-10-08 against the virtual CFO service page.
