For accounting firms

Dedicated staff pods

Short answer

A dedicated staff pod is a fixed, named group of Finbryn accountants assigned only to your Australian practice, working set hours that overlap your review windows, with a recorded handover memo whenever anyone on the pod changes, instead of a shared pool rotating across other practices' work.

The quarterly-turnover problem

Australia's BAS cycle repeats every quarter, and a shared outsourced pool that swaps preparers between cycles forces your staff to re-explain a client's history four times a year. A dedicated pod is the fix: named people, assigned to your practice only, who carry a client's context from one BAS quarter into the next.

Sizing a pod to your book

We size the pod during onboarding against your actual client count, not a rule of thumb. Pod size is set against your actual client count rather than a rule of thumb, and we work that out with you before quoting a number of seats.

What happens when the pod changes

Staff move on. When a pod member is reassigned or leaves, the outgoing person writes a handover memo naming every open file, its current status and anything the incoming person needs to know before the next BAS due date. Your practice gets that memo before or at the moment of the change, not discovered after a lodgement slips.

When files come back

Files your staff release near the end of a business day are typically worked overnight and waiting for review the next Australian morning, which matters most in the run-up to a 28th-of-the-month BAS due date.

Where a pod fits versus other options

A pod suits an ongoing, recurring client base best. A one-off backlog is better routed through overflow cleanup projects; ongoing production under your own branding runs through white-label bookkeeping. Any BAS or return lodgement the pod's work feeds into still sits with your TPB-registered agent under the written supervision agreement covering the arrangement.

Growing the pod

As your client roster grows, seats are added using the same sizing exercise run at the start, rather than a fresh contract negotiation each time.

Questions

Frequently asked questions: Dedicated staff pods

Does the pod ever get shared across other practices?

No. Every person on the pod works your practice's files only, never rotating onto another practice's engagement.

What happens the day someone on the pod changes?

A handover memo naming every open file and its status goes to your practice at the point of the change, so nothing depends on memory.

Can pod size flex around the BAS quarter?

Seats are sized to your ongoing client base rather than reset each quarter, but we review sizing with you as your client count moves.

Can we change the size of our pod as client volume changes?

Yes. Pod size is reviewed on a regular cadence and adjusted up or down as your client book grows or a busy season passes, rather than locked to a fixed headcount for the life of the engagement.

What is not included in dedicated pod pricing?

Software licence costs and any client-specific tools your firm already pays for are separate. Pod pricing covers the capacity itself, not the platforms it works inside.

Is the pod shared with other firms?

No. A pod is assigned to your firm only, and any change to who is on it comes with a recorded handover memo.

How large is a typical pod?

Sized to your client volume during scoping. Firms usually start with a small pod and add seats as their book grows.

What software works with dedicated staff pods?

Dedicated staff pods runs inside QuickBooks Online or Xero, whichever you already use. If you are not yet set up in either, we can configure a file in your name so you keep ownership of it once the engagement is under way.

How do we get started with dedicated staff pods?

Getting started with dedicated staff pods begins with a short review of your current records and software access. Once that is done we confirm scope and timing in writing, and ongoing work begins on the schedule agreed with you.
