Pricing and terms

Are your published prices in Australian dollars?

Yes. Every price on our pricing page is shown in A$, with no conversion from another currency. Your invoice and engagement letter are both issued in Australian dollars regardless of which plan you choose.

Does our fee change once we cross the A$75,000 GST threshold?

It can. Registering for GST usually adds transactions and a quarterly BAS preparation step, so the plan is reviewed against your new turnover. We flag the threshold in advance so any change in fee is discussed before it happens, not after.

Is BAS preparation included in the base bookkeeping fee?

It depends on the plan. Some plans bundle quarterly BAS figure preparation, others price it separately per lodgement cycle. We confirm which applies to your plan in writing before the engagement starts.

Do you charge extra for handling Payday Super in our bookkeeping?

Reconciling superannuation paid alongside wages is part of standard payroll journal work once Payday Super applies from 1 July 2026. It is not a separate line item unless your pay frequency or headcount pushes the engagement into a different plan tier.

Is there a minimum engagement length for a small Pty Ltd?

No fixed minimum term is imposed. Terms, including notice periods for ending the engagement, are set out in your engagement letter, which you review before anything is signed.

Is GST charged on your own fees?

If we are registered for GST, our invoices show GST as a separate line, and you can claim the input tax credit through your own BAS in the usual way. Your engagement letter states our GST registration status.

How do you price a business that has just registered for GST?

The same way as any new engagement: by transaction volume and account count. A newly registered business often needs BAS preparation added on top of standard bookkeeping, quoted once the file is reviewed.

Security and data

Is our accounting data hosted on a server located in Australia?

Your data lives inside your own Xero, MYOB or QuickBooks Online subscription, hosted by that provider under their own infrastructure and terms, not on a server we operate. We work inside your file through the access you grant.

How do you meet the Privacy Act's overseas disclosure obligations?

Personal information is handled under the safeguards set out in our privacy policy, covering how it is collected, stored and, where relevant, transferred. Full detail on those safeguards is published on our privacy page.

What happens to our registered agent's access if we switch bookkeepers?

Your TPB-registered agent's own access to your file is unaffected by who does the bookkeeping, since it runs through your own Xero, MYOB or QuickBooks Online login rather than through us.

Can we limit which team members see our payroll and super data?

Yes. Access inside our team is scoped to the work assigned, so payroll and superannuation detail is only visible to whoever is actually processing that pay run, not the whole account team by default.

Do you keep a copy of our BAS working papers after lodgement?

Working papers stay inside your own accounting file and any shared folder set up for the engagement. We do not retain a separate copy outside those systems once the BAS period is closed.

How is client consent for outsourced work documented?

Where a registered agent supervises our preparation work, written consent covering that arrangement is collected and kept on file, consistent with Tax Practitioners Board rules on disclosing client information to a third party.

What access do you actually need to start, at minimum?

Read-only bank feeds and a user login inside your existing accounting software. We do not ask for online banking passwords or any authority to move money without your separate approval.

How the work runs

Do you close our books to a calendar month or to our BAS quarter?

Both. Books are closed monthly so the numbers are current, and the coding is structured so each quarter's close rolls straight into the BAS figures due 28 October, 28 February, 28 April and 28 July.

How does Payday Super change what you need from us each pay run?

From 1 July 2026, super has to reach an employee's fund within seven business days of payday, so pay-run timing and super calculation need confirming before each run, not reconciled weeks later.

Who confirms our GST tax codes are being applied correctly?

We code transactions, and where BAS-related coding is involved, it sits under the written supervision of your TPB-registered agent, who remains responsible for the treatment applied.

What actually happens around 30 June for us?

Books are closed to the financial year end, opening balances are prepared for the next year, and any figures your income tax return needs are organised ahead of the usual lodgement deadlines.

Can you work inside MYOB as well as Xero?

Yes. We work in whichever of Xero, MYOB or QuickBooks Online your business already runs, and set one up under your own subscription if you have no accounting software yet.

How do you handle a business that is not yet GST registered?

Books are kept the same way, without GST coding applied, and we track rolling turnover against the A$75,000 threshold so registration is a planned decision rather than a late discovery.

Switching providers

Our current registered agent does both bookkeeping and lodgement. Can you take over just the bookkeeping?

Yes. We take on the bookkeeping and prepare figures for your existing agent to review and lodge, or move to a supervision arrangement with us if your agent agrees to that structure.

What happens to our supervision arrangement if we switch bookkeepers?

A new written supervision agreement is put in place with your TPB-registered agent before any BAS-related coding starts under us, so responsibility for that work is always clearly assigned.

Can you pick up mid quarter, right before a BAS is due?

Yes, though the incoming quarter's BAS may need a faster review than usual. We tell you plainly if the timeline is tight rather than promising a smooth handover we cannot deliver.

Do we need to tell our current bookkeeper before we switch?

That is your call and usually good practice for a clean handover, but it is not a requirement for us to start. We coordinate the technical handover once you confirm the switch date.

What if our GST coding history has errors going back several quarters?

We scope a catch-up review of the affected quarters separately from ongoing bookkeeping, and flag any correction needed to your registered agent before it affects a future BAS.

Will switching affect our Payday Super compliance?

No, provided the switch does not interrupt pay-run timing. We confirm your current super payment process during onboarding so there is no gap in meeting the payday deadline.

Tax preparation support

Do you prepare our company income tax return as well as BAS?

We prepare the workpapers behind both, built from your reconciled books, under the supervision of your TPB-registered agent, who reviews and lodges the return and the BAS.

Who actually lodges our BAS with the ATO?

Your registered agent lodges it, or your own appointed adviser if you already have one. We prepare the supporting figures; lodgement authority stays with the registered agent throughout.

Can you help if we provide staff with cars or entertainment benefits?

We track the records fringe benefits tax needs across the FBT year, which runs 1 April to 31 March, and hand organised figures to your registered agent for the FBT return itself.

What is the practical difference between a BAS and an IAS?

A BAS covers GST and, where relevant, PAYG withholding and instalments together. An IAS is used in periods where only PAYG instalments or withholding are reported, without a GST component that period.

Do you prepare the R&D Tax Incentive schedule for us?

We organise the financial documentation supporting an R&D claim, tied to your project records. Technical eligibility assessment is confirmed with your registered agent or a specialist R&D adviser.

Can you prepare figures for a trust as well as a company?

Yes. Trust distributions and beneficiary schedules are prepared alongside company workpapers where a group includes both structures, under the same registered-agent supervision as any other entity.

What happens if we are at risk of missing a quarterly BAS due date?

We flag the risk early so your registered agent can consider a lodgement-program extension where one applies, or lodge with the best available figures and amend once everything is finalised.

Working with accounting firms

Do you work under our firm's own TPB registration?

Yes, where BAS-related work is involved. We operate under a written supervision agreement with your firm's registered agents, consistent with Tax Practitioners Board outsourcing rules, rather than acting as an independent agent ourselves.

Can you support our firm specifically through the quarterly BAS crunch?

Yes. Capacity is scheduled around the 28 October, 28 February, 28 April and 28 July due dates so extra hands are in place before the crunch starts, not once it has already hit.

How do you handle client consent for outsourced work under TPB rules?

Written client consent is collected by your firm before any of that client's information is shared with us, and kept on file, matching the disclosure requirements TPB outsourcing rules set out.

Can you match our firm's existing workpaper format and review process?

Yes, where your firm has a standard workpaper template or checklist, we build to it directly, so a reviewer at your firm sees a familiar format rather than something new to interpret.

Do you offer a trial engagement before we commit to a full pod?

Yes. A single overflow project or one client file is a common way for a firm to test the workflow before scaling into a dedicated pod, with no obligation to expand afterwards.

What happens to client data once a pod engagement with our firm ends?

Access to each client file is revoked at the end of the engagement, and since the file stays inside your firm's own systems throughout, there is nothing further to hand back.

Can you support both bookkeeping and BAS preparation for our firm's clients?

Yes. Both can run under one engagement with your firm, scoped per client, with BAS-related preparation always sitting under your firm's registered agents for review and lodgement.
