Dedicated staff pods
A dedicated staff pod is a fixed, named group of Finbryn accountants assigned only to your US firm, working set hours that line up with your review windows, with a recorded handover memo whenever anyone on the pod changes, instead of a shared pool rotating across other firms' work.

Why firms ask for a pod instead of a queue
A shared outsourcing pool can mean a different preparer touching a client's file every month, and your reviewing staff relearning that file's quirks each time. A dedicated pod fixes that by assigning specific people to your firm, working your files, on a schedule you agree together.
How a pod is staffed
During scoping, we size a pod to your client volume: a small firm with a hundred write-up clients might run a pod of two or three, while a larger practice managing several hundred files runs a bigger one. Every pod member is named to your firm, and any change to who is on it, whether a promotion, a reassignment or an exit, comes with a recorded handover memo describing open items and where each client file stands.
Working hours that overlap yours
Pod hours are set to overlap the end of your US workday and continue into the overnight window. A file your staff hands off at 5pm Eastern is often reconciled and waiting when your team logs in the next morning.
What a pod is good for
Firms use dedicated pods for ongoing monthly bookkeeping across a defined client segment, for controller-level reconciliation work on larger clients, or as the standing capacity behind a white-label bookkeeping arrangement. Because the same people stay on a firm's files month over month, pods tend to fit firms with a stable, recurring client base rather than one-off project work, which is better suited to overflow cleanup projects.
Adding seats as you grow
Seats are added to a pod as your client roster grows, following the same scoping process used to size it originally, rather than a full contract renegotiation.
Questions
Frequently asked questions: Dedicated staff pods
Is a dedicated pod shared with other firms at all?
No. A pod is assigned to your firm alone. It does not rotate onto other firms' work.
What happens when someone on the pod leaves or changes roles?
You get a recorded handover memo naming what changed and the status of every open file, before the transition happens where possible.
How many people are typically on a pod?
It depends on your client volume. Firms with a smaller write-up book often start with two or three people and add seats as the book grows.
What does dedicated staff pods actually include, month to month?
Dedicated staff pods covers a named pod assigned exclusively to your firm's client files, along with a recorded handover memo whenever a pod member's assignment changes. The work runs inside QuickBooks Online, Xero, NetSuite, Sage Intacct or Karbon, the file stays under your own subscription, and a senior principal reviews the output before it reaches you each period.
What access do you need to start dedicated staff pods?
View or edit access to QuickBooks Online, Xero, NetSuite, Sage Intacct or Karbon is enough to begin; nothing about your existing subscription or login changes on our side. Any additional access needed for a specific deliverable, such as a bank portal or receipt inbox, is agreed with you first, and the scope is set out in your engagement letter.
Is the pod shared with other firms?
No. A pod is assigned to your firm only, and any change to who is on it comes with a recorded handover memo.
How large is a typical pod?
Sized to your client volume during scoping. Firms usually start with a small pod and add seats as their book grows.
What software works with dedicated staff pods?
Dedicated staff pods runs inside QuickBooks Online or Xero, whichever you already use. If you are not yet set up in either, we can configure a file in your name so you keep ownership of it once the engagement is under way.
How do we get started with dedicated staff pods?
Getting started with dedicated staff pods begins with a short review of your current records and software access. Once that is done we confirm scope and timing in writing, and ongoing work begins on the schedule agreed with you.
