Ecommerce (Amazon and Shopify)

Short answer

Finbryn keeps monthly books for Hong Kong ecommerce sellers on Amazon and Shopify, splitting marketplace payouts into gross sales, fees, refunds and reserves inside Xero or QuickBooks Online. We track cost of goods by SKU and keep records to the audit-ready standard every Hong Kong company needs before its CPA signs off.

Reviewer's note

Software is up on last month after two seats were added mid-month. Revenue includes one milestone invoice that will not repeat next month.

Exceptions report

Where the books usually hurt

  • Marketplace payouts land as one lump sum that hides sales, fees, refunds and reserves

  • Cost of goods sold gets estimated instead of tracked by SKU and inventory location

  • Sales tax nexus creeps across states as revenue grows and nobody notices until a notice arrives

  • Multiple sales channels mean multiple ledgers that never quite reconcile to the bank

Cross-border selling needs books an auditor can sign

A Hong Kong-incorporated seller running Amazon or Shopify usually has customers scattered across several markets and a bank account that only shows one net figure per payout. That is not enough for the annual return. Every active company registered at the Companies Registry must file audited financial statements with the Inland Revenue Department (IRD) alongside its Profits Tax return (BIR51), and Hong Kong has no small-company audit exemption. Books that are close enough for a founder's own dashboard are rarely clean enough for a practising Hong Kong CPA to sign in one pass.

What we do each month

We pull A2X or Link My Books payout data and split it into sales, marketplace fees, refunds, advertising spend and reserves before anything touches the general ledger in Xero, QuickBooks Online or Zoho Books, the three platforms most common among Hong Kong sellers. Cost of goods gets tracked by SKU where supplier invoices and freight documents support it, so gross margin is visible by product rather than guessed at year end. Multi-currency transactions in USD, RMB or EUR are converted and reconciled against the HKD functional currency each month, not adjusted in a rush before filing.

Where the source of profits matters

Hong Kong taxes profits on a territorial basis: profits sourced outside Hong Kong can, in some structures, be claimed as offshore and excluded from Profits Tax, while profits arising in Hong Kong cannot. That distinction depends on facts, contracts and where selling activity actually happens, so it sits with your tax adviser, not with our bookkeeping team. What we control is making sure the underlying transaction records are organised well enough that whoever makes that call, and whoever signs the statutory audit, can rely on the numbers rather than reconstruct them.

Built for the handover

Every file stays in your own Xero, QuickBooks Online or Zoho Books account, reviewed by a named pod before it reaches you, with a short memo on anything that changed. When your auditor asks for a reconciliation or a payout breakdown, it is already sitting in the file, not assembled the week before the deadline.

Questions

Frequently asked questions: Ecommerce (Amazon and Shopify)

Do Hong Kong ecommerce companies need an audit even if they are small?

Yes. Under the Companies Ordinance (Cap. 622), every Hong Kong company must have its financial statements audited by a practising Hong Kong CPA each year, regardless of turnover or size, unless the company is dormant.

Can you split Amazon and Shopify payouts by fee type?

Yes. We use A2X or Link My Books feeds to break each payout into gross sales, marketplace fees, refunds and reserves before it posts to Xero, QuickBooks Online or Zoho Books.

Do you decide whether our profits are offshore for tax purposes?

No. The offshore profits claim under Hong Kong's territorial tax system is a legal and factual determination made by your tax adviser or the credentialed signer handling your BIR51 filing. We keep the underlying records organised so that determination can be made on complete information.

Which accounting software do you work in for Hong Kong sellers?

Xero, QuickBooks Online or Zoho Books, whichever you already run. We do not require you to move platforms.

How do you handle inventory held in a Hong Kong bonded warehouse or fulfilment centre?

Stock movements are tracked from purchase through to sale, valued consistently month to month, so cost of goods sold reflects what actually shipped rather than a rough estimate applied at year end for the audit.

Do you work with A2X or Link My Books?

Yes, either one, depending on which the seller already has connected to their marketplace and accounting software.

Can you track cost of goods sold by product?

Yes, when landed cost and inventory data are available from the seller's supplier records or 3PL.

What are the common bookkeeping challenges for a ecommerce (Amazon and Shopify) business?

Beyond the basics, sales tax nexus creeps across states as revenue grows and nobody notices until a notice arrives and multiple sales channels mean multiple ledgers that never quite reconcile to the bank come up often in this industry. We build the chart of accounts and reconciliation process around those specific patterns rather than a generic template that ignores how the business actually operates.

What software do you support for ecommerce (Amazon and Shopify)?

We work inside Shopify and Amazon Seller Central, along with the other tools listed on this page that are common in the ecommerce (Amazon and Shopify) industry. If you have no file yet, we set one up in your name so you own it from day one.
