What happens each month
Once a month closes, we work through your bank and card feeds. Every transaction is categorised against your chart of accounts, receipts and invoices are matched to the right entry, and each account is agreed to its statement balance. Anything the records do not explain goes onto a query list rather than a guess.
Built with the annual audit in mind
Hong Kong gives no small-company exemption from the annual statutory audit, so the books we hand back each month are kept at a standard a practising Hong Kong CPA can work from directly at year end. That means consistent coding month to month, reconciled intercompany and director-loan balances, and a trial balance that ties out before it is needed.
MPF and payroll journals
Where your company runs payroll, we post the journals each month so wages, and the 5% employer and 5% employee Mandatory Provident Fund contributions on relevant income between HK$7,100 and HK$30,000 a month, agree to what actually left the bank. The MPF scheme trustee handles the contributions themselves; we keep the ledger consistent with them.
Reports you receive
Each month you get a profit and loss account, a balance sheet and the query list, in whichever of Xero, QuickBooks Online or Zoho Books your company already runs. Nothing moves to new software; the subscription stays in your name throughout.
Where to start
If the last few months are already reconciled, monthly bookkeeping starts straight away. If they are not, a catch-up clears the backlog first so the first monthly close is not also a cleanup job. See pricing for how monthly plans are structured, or book a call to talk through your current setup.
Questions
Frequently asked questions: Monthly bookkeeping
Will my books be ready for my auditor at year end?
Yes. We keep the monthly file at a standard a practising Hong Kong CPA can audit directly, without a separate cleanup pass first.
Do you handle MPF contributions?
We post the MPF journals so your ledger agrees with what was actually contributed. The MPF trustee and your payroll provider handle the contributions themselves.
Which software do you support?
Xero, QuickBooks Online and Zoho Books cover the platforms Hong Kong companies most commonly run. We work inside your existing subscription.
Is there a VAT step in the monthly close?
No. Hong Kong has no VAT, GST or general sales tax, so there is nothing to reconcile there.
What happens to the query list if an item stays unresolved for more than one month?
It carries forward and is repeated on the following month's list rather than dropped quietly, so nothing sits unexplained for long enough to become a problem once your annual statutory audit season starts and your CPA asks about it.
Do I have to switch accounting software?
No. We work inside your QuickBooks Online or Xero file. If you have no file yet, we set one up in your name so you own it from day one.
What do you need from me each month?
Read-only bank feeds, receipts for card spend, and answers to the questions we log on the open-items list.
What is included in monthly bookkeeping?
Monthly bookkeeping covers transactions sorted into categories against your chart of accounts and bank, card and payment-processor accounts reconciled to statements. The exact scope is agreed and set out in writing before work starts, so you know precisely what is and is not covered before the first deliverable arrives.
How is monthly bookkeeping priced?
Pricing for monthly bookkeeping depends on your transaction volume, the software you use, and how much cleanup is needed before ongoing work starts. Current ranges are published on the pricing page, and your exact fee is confirmed in writing before anything begins.
