Ecommerce (Amazon and Shopify)

Short answer

Finbryn splits EU marketplace payouts into sales, fees, refunds and VAT inside Xero or QuickBooks Online, using A2X or Link My Books. We track One Stop Shop VAT exposure across member states, watch the EUR 10,000 distance-selling threshold, and reconcile weekly so cross-border sellers see channel margin, not one blended deposit.

Reviewer's note

Software is up on last month after two seats were added mid-month. Revenue includes one milestone invoice that will not repeat next month.

Illustrative. An example of the document, not a client's figures.

Exceptions report

Where the books usually hurt

  • Marketplace payouts land as one lump sum that hides sales, fees, refunds and reserves

  • Cost of goods sold gets estimated instead of tracked by SKU and inventory location

  • Sales tax nexus creeps across states as revenue grows and nobody notices until a notice arrives

  • Multiple sales channels mean multiple ledgers that never quite reconcile to the bank

Why one marketplace deposit hides four different problems

A Shopify or Amazon payout lands in the bank as a single figure. Underneath it sits gross sales, marketplace or payment-processor fees, refunds, and VAT collected on behalf of customers in a dozen different member states. Sellers who post that one number as revenue end up with a profit and loss that cannot answer a simple question: which country, which channel, which product is actually making money.

Finbryn connects Seller Central and Shopify to Xero or QuickBooks Online through A2X or Link My Books, so each payout arrives already split by channel, fee type and VAT rate before it hits the ledger. Our team then reconciles that feed against the bank statement and the platform's own reports directly, because connector data can lag during peak sales weeks.

VAT, OSS and the distance-selling threshold

Once total cross-border B2C sales of goods and digital services to consumers across the EU pass EUR 10,000 in a calendar year, VAT is due in the customer's member state rather than the seller's home state. The One Stop Shop scheme lets a seller register in a single member state and declare all of that cross-border VAT through one quarterly return instead of registering separately in every country sold into. We track a seller's running total against that EUR 10,000 threshold and flag it well before it is crossed, then prepare the OSS return data for the seller's VAT-registered fiscal representative or their own registration to file.

For goods imported from outside the EU in low-value parcels, the Import One Stop Shop covers consignments valued at EUR 150 or less, collecting VAT at the point of sale instead of at the border. We reconcile IOSS-reported VAT against actual shipment data so nothing is declared twice or missed.

What changes when a seller moves to Finbryn

The Xero or QuickBooks Online file stays owned by the client from day one. A named pod runs the account, with a recorded handover memo whenever that pod changes, and books are reconciled weekly rather than left until the quarter closes. Local statutory accounts and VAT filings still run through a credentialed local partner (an expert-comptable in France, a Steuerberater in Germany, or the equivalent elsewhere), because those are reserved activities in most member states; Finbryn's role is the preparation and reconciliation work that partner needs to sign off quickly. Pricing is published on the pricing page rather than quoted after a call, and terms are set out in your engagement letter.

Catch-up work is common for sellers who discover OSS exposure after crossing the threshold; we scope that separately by transaction volume before moving the account onto ongoing monthly bookkeeping.

Questions

Frequently asked questions: Ecommerce (Amazon and Shopify)

Do you register us for the One Stop Shop scheme?

The OSS registration itself is filed through your own VAT registration or a credentialed local partner. We track your threshold exposure and prepare the return data that registration needs.

Can you work with both Xero and QuickBooks Online for EU sellers?

Yes. We connect either one to Amazon and Shopify through A2X or Link My Books, whichever your accounts already run on.

What happens once we cross the EUR 10,000 distance-selling threshold?

VAT becomes due in each customer's member state instead of your home state. We flag the crossing early and prepare the OSS return data your registered filer needs.

Do you handle Import One Stop Shop for goods shipped from outside the EU?

We reconcile IOSS-collected VAT on consignments valued at EUR 150 or less against your shipment records so nothing is declared twice.

Do you keep our EU marketplace VAT under one OSS return even across several storefronts?

Yes. We roll cross-border B2C sales from every EU storefront you run into one running total against the EUR 10,000 distance-selling threshold, then prepare the OSS return data as one set once you are registered, rather than tracking each storefront separately.

Do you work with A2X or Link My Books?

Yes, either one, depending on which the seller already has connected to their marketplace and accounting software.

Can you track cost of goods sold by product?

Yes, when landed cost and inventory data are available from the seller's supplier records or 3PL.

What are the common bookkeeping challenges for a ecommerce (Amazon and Shopify) business?

Beyond the basics, sales tax nexus creeps across states as revenue grows and nobody notices until a notice arrives and multiple sales channels mean multiple ledgers that never quite reconcile to the bank come up often in this industry. We build the chart of accounts and reconciliation process around those specific patterns rather than a generic template that ignores how the business actually operates.

What software do you support for ecommerce (Amazon and Shopify)?

We work inside Shopify and Amazon Seller Central, along with the other tools listed on this page that are common in the ecommerce (Amazon and Shopify) industry. If you have no file yet, we set one up in your name so you own it from day one.
