Catch-up and cleanup bookkeeping

Short answer

Catch-up bookkeeping for Hong Kong companies whose records have fallen behind. Finbryn reconciles the backlog month by month in Xero, QuickBooks Online or Zoho Books, corrects miscoded and duplicate entries, and logs every adjustment, so the file is ready for BIR51 and the statutory audit that has to accompany it.

Why the backlog matters more in Hong Kong

A company that falls behind on bookkeeping in most markets can usually catch up quietly before tax season. In Hong Kong, every active company still needs an annual statutory audit regardless of size, and the Profits Tax Return, form BIR51, has to be filed together with those audited accounts. A backlog does not just delay your own view of the numbers; it delays the audit, and the audit gates the filing.

How we work through it

We collect statements for every bank, card and payment account across the backlog period, then move forward month by month from the last period that was reconciled cleanly. Each month is categorised, matched to statements and agreed to a closing balance before we move to the next, rather than reconciling the whole period in one pass and hoping it holds together.

Fixing what is wrong

Common issues we meet include shareholder drawings booked as expenses, intercompany transfers coded as revenue, and MPF contributions that were never matched to payroll. Every correction is written into an adjustments log naming the period, the entry and the reason, so nothing changes silently.

What you are left with

A reconciled ledger across the whole backlog, a profit and loss account and balance sheet for each period, and the adjustments log itself, in your existing Xero, QuickBooks Online or Zoho Books file. Your appointed practising Hong Kong CPA then audits from that base rather than from raw bank statements.

Next step

Once the backlog is cleared, monthly bookkeeping keeps it from building up again. Catch-up work is quoted per backlog month once we have seen the accounts; see pricing for how that is structured, or book a call if a BIR51 deadline is close.

Questions

Frequently asked questions: Catch-up and cleanup bookkeeping

Will this delay my audit further?

The opposite. A reconciled backlog is what lets your practising Hong Kong CPA start the statutory audit rather than waiting on raw bank statements.

Do you file the corrected BIR51?

No. We prepare the reconciled records. BIR51 is filed once the audited accounts it must accompany are signed off by your appointed Hong Kong CPA.

What if some months have no records at all?

We flag the gaps and rebuild what we can from bank and card statements; anything genuinely unrecoverable is noted in the adjustments log rather than estimated silently.

How do you handle a backlog that spans more than one financial year?

Each year is reconciled in its own right rather than blended together, since a correction in one year can affect the opening balances of the next. We flag anything that changes a figure you may already have reported.

Do you need every bank statement before starting, or can catch-up begin with what we have?

Work can start with whatever records exist. Gaps are listed as they are found, and we ask you or your bank for what is missing rather than pausing the whole catch-up until every document is in hand.

How far back can you go?

As far back as you have bank and card statements. We quote per backlog month after seeing the accounts involved.

Will you change figures that were already reported?

Only where the records show an error, and every change goes in a written adjustments log.

How do we get started with catch-up and cleanup bookkeeping?

Getting started with catch-up and cleanup bookkeeping begins with a short review of your current records and software access. Once that is done we confirm scope and timing in writing, and ongoing work begins on the schedule agreed with you.

What if our records for catch-up and cleanup bookkeeping are not up to date?

If your records are behind, we scope a catch-up first so catch-up and cleanup bookkeeping starts from a clean, reconciled base. That catch-up is priced and timed separately from the ongoing engagement, so you always know what each part costs.
