Bill pay (Bill.com, Melio)

Short answer

In Hong Kong, vendor bills are entered and coded in Xero or QuickBooks Online, queued for your approval, then paid by bank transfer or FPS on the schedule you set. Every payment is matched back to its bill, keeping the payable ledger reconciled ahead of your annual statutory audit.

Bill pay for Hong Kong companies

Hong Kong businesses mostly pay vendors by bank transfer or the Faster Payment System (FPS) rather than through a dedicated bill-pay platform like Bill.com, which has limited reach here. We enter and code each vendor bill in Xero or QuickBooks Online, route it for your approval, then release payment on the schedule you set, whether that is a weekly run or payment on each invoice's due date.

Every payment is matched back to the original bill so the payable ledger always shows what has cleared and what is still outstanding. Because every active Hong Kong company faces an annual statutory audit with no small-company exemption, a payable ledger that reconciles cleanly month by month saves real auditor time when your CPA reviews the year's transactions.

Approval stays with you

We do not hold authority to move money. Bills sit in a queue until you approve them, unless you decide in writing to delegate that step to us.

Currency handling

Many Hong Kong companies pay suppliers in a mix of HKD, USD and RMB. Bills are coded and reconciled in the currency paid, then reported in HKD, so your books reflect the real cost of each purchase.

Questions

Frequently asked questions: Bill pay (Bill.com, Melio)

Do you use Bill.com for Hong Kong vendor payments?

Rarely. Bill.com has limited adoption in Hong Kong, so we typically process vendor payments through Xero or QuickBooks Online, paid by bank transfer or FPS. Tell us your setup during onboarding and we will confirm the exact workflow.

Can you pay suppliers based outside Hong Kong?

Yes. Cross-border vendor payments are coded and reconciled the same way, with the currency paid recorded alongside the HKD equivalent for reporting.

Who has final sign-off on a payment run?

You do. Every bill is queued for your approval and nothing releases until you sign off, unless you choose in writing to delegate that step to us.

What is not included in this service?

We enter, code and queue bills and process approved payments; we do not negotiate vendor terms, decide which bills to pay first, or take on liability for a payment made in error after you approve it. Those decisions, and that responsibility, stay with your company.

How is a new vendor set up in the system?

When a new vendor appears, we record their payment details in Xero or QuickBooks Online, confirm the currency and normal payment terms with you, and code the first bill for your review before it joins the regular payment run.

Do you have authority to move money on your own?

No. Payment runs are queued for your approval inside Bill.com or Melio. Nothing pays until you release it, unless you choose to delegate that step to us in writing.

Can you work with the payment tool we already use?

Yes, if it is Bill.com or Melio. If you use something else we will tell you whether we can support it before you sign up.

What is included in bill pay (Bill.com, Melio)?

Bill pay (Bill.com, Melio) covers vendor bills entered and coded to your chart of accounts and approval routing set up so the right person signs off before anything pays. The exact scope is agreed and set out in writing before work starts, so you know precisely what is and is not covered before the first deliverable arrives.

How is bill pay (Bill.com, Melio) priced?

Pricing for bill pay (Bill.com, Melio) depends on your transaction volume, the software you use, and how much cleanup is needed before ongoing work starts. Current ranges are published on the pricing page, and your exact fee is confirmed in writing before anything begins.
