Why a UK pay run needs review before it goes out
Xero, QuickBooks Online, Sage and BrightPay calculate tax and National Insurance correctly once a run is confirmed and will file the Full Payment Submission on schedule. What none of them catch on their own is a rate change never entered, a statutory sick or maternity payment applied to the wrong week, or a starter whose tax code was carried over incorrectly. We check the draft run against timesheets, contract changes and any statutory pay before it is confirmed, so a correction happens before the FPS goes out, not after.
Auto-enrolment on every run
Each pay reference period, eligible workers have to be assessed and, where required, enrolled into a workplace pension, with contributions calculated on the scheme's own basis. We reconcile what was actually deducted from pay against the pension provider's contribution schedule, and flag a gap the same period it appears rather than at the next annual re-enrolment date.
Payslips and starter or leaver records
Payslips are checked against the payroll software's output before distribution, catching a mismatch between what the run calculated and what an employee actually sees. New starter records, including P45 details from a previous employer, and leaver records with the correct P45 issued, are checked before the next run so tax codes and final pay stay accurate.
Who files the RTI submission
Submitting an FPS or EPS on your behalf requires HMRC anti-money-laundering supervision and an Agent Services Account, which sits with a registered payroll agent or with your own login to the payroll software. We prepare and check the run; the submission itself goes through that software or agent, and we post the resulting journal entry once it has gone through. Do you have login access to run our payroll?
We work with reporting and review access, not the level needed to confirm and submit a pay run. Confirming the run and filing the FPS stays with you or your registered payroll agent.
What counts as a statutory payment you check?
Statutory sick pay, statutory maternity, paternity and shared parental pay, and any recovery claimed through the Employer Payment Summary are all checked against the current run before it is confirmed.
How quickly do you flag a pension contribution mismatch?
Within the same pay period. We reconcile the deduction against the pension provider's schedule each run rather than waiting for a quarterly or annual check.
What software do you work in?
Xero, QuickBooks Online, Sage and BrightPay are the platforms we work in most often. We check first that your setup can export the reports we need for review and reconciliation.
What happens if an RTI submission is late?
HMRC can charge a penalty for a late Full Payment Submission, scaled to the size of your PAYE scheme, so we build the check into the pay run timeline to flag anything that would delay submission well before the deadline rather than after it has passed.
Who sends our Real Time Information submissions?
The payroll platform or a registered payroll agent submits the report on schedule. We coordinate the pay-run review and the accounting entries around it.
Do you choose our pension scheme?
No. We check that contributions match the scheme rules already in place and are recorded correctly. Scheme selection sits with you or your pension adviser.
