Bookkeeping for UK companies and sole traders

Owner-managers in the UK usually want two things from their books: numbers they can act on during the month, and records that hold up when HMRC, a lender or an accountant asks to see them. We run the monthly cycle so both are true, working inside the Xero or QuickBooks Online file you already hold.

What happens each month

Every transaction from your bank, card and payment-provider feeds is coded to a chart of accounts built for your business, then each account is reconciled to its statement. You get a profit and loss account, a balance sheet, and a short query list for anything the paperwork does not explain on its own.

VAT and Making Tax Digital

If your turnover is above the VAT registration threshold of £90,000 in a rolling 12 months (or expected to be in the next 30 days), Making Tax Digital requires digital records and MTD-compatible software for the return. We keep the VAT coding current inside Xero or QuickBooks so the quarter's figures are ready for review as soon as the last month closes; the return itself is submitted by you or by the UK agent you appoint, never by us.

Statutory accounts and Companies House

Reconciled monthly books make year end cheaper, whichever firm prepares your FRS 102 or FRS 105 statutory accounts. A Companies House filing, including the confirmation statement, is made by you or your appointed agent; we hand over a trial balance that is ready to file from, not a set of loose figures.

Who does the work

The bookkeeping is delivered under a contract with Northlane Solutions Inc.. We say so on every page because it is your financial data moving, not because it needs hiding. If your records have fallen behind, start with catch-up bookkeeping; otherwise move straight to monthly bookkeeping. Either way the Xero or QuickBooks subscription stays registered in your company's name, and you can see or export the file at any time.

Do you work in Xero, or only QuickBooks?

Both. We work inside Xero and QuickBooks Online; the subscription stays in your name either way.

Can you submit my VAT return?

We prepare the VAT workings inside your software for review. Submission is made by you or by the UK agent you appoint, since filing needs a registered agent under HMRC's rules.

Will you file our confirmation statement at Companies House?

No. We keep the reconciled figures ready, but the filing itself is made by you or your appointed agent.

Do you prepare our statutory accounts under FRS 102 or FRS 105?

We prepare the reconciled trial balance those accounts are built from. A qualified preparer, whether that is your existing accountant or one we can introduce, completes the statutory accounts themselves.

What does the bookkeeping service not cover?

We categorise transactions, reconcile accounts and deliver monthly reports inside your existing software. We do not sign statutory accounts, file your Corporation Tax return, or make judgement calls on tax treatment. Those steps sit with a credentialed signer, your accountant, or you, working from the reconciled figures we produce each month.

What happens if we decide to end the engagement?

Your Xero, QuickBooks Online or Sage file stays fully reconciled and yours to keep, since nothing is built in software we control. We hand over a short note on any open item, the chart of accounts logic and outstanding queries, so a new bookkeeper or an in-house hire can continue without a gap month.

How is bookkeeping priced for a UK business?

Pricing is set against transaction volume, the number of accounts to reconcile and whether Making Tax Digital for VAT or Income Tax applies to you, not a single flat rate for every company. The exact figure and payment cadence are agreed and written into your engagement letter before the first month starts.

What access do you need to keep our books?

Read and entry access to your accounting software and bank feeds, scoped to bookkeeping tasks rather than full administrator control. We never need online banking payment authority to reconcile your accounts, and any access granted is reviewed and removed the moment the engagement ends or the scope changes.
