What payroll support with Finbryn covers in the UK

UK payroll runs on Real Time Information: every payment to an employee is reported to HMRC on or before payday through a Full Payment Submission, with an Employer Payment Summary filed for any period where no one was paid or a statutory recovery applies. Xero, QuickBooks Online, Sage and BrightPay all handle that reporting once a run is confirmed. What they do not do on their own is check the draft run against timesheets and contract changes, tie the figures to your general ledger, or explain a variance in plain language. That is the work we do each pay period.

New starters, leavers and auto-enrolment

We check new starter details and leaver records before each run, review the draft pay run against timesheets, statutory pay and current pension contribution rates, and check payslips against the payroll software's output before they go out. Every eligible worker has to be assessed for auto-enrolment on each pay reference period, and we reconcile the resulting pension contributions against the scheme provider's own records so the amount taken from pay matches what actually reaches the pension.

Who submits the RTI report

Filing an FPS or EPS on a client's behalf sits behind HMRC's Agent Services Account regime and anti-money-laundering supervision under the Money Laundering Regulations 2017. Finbryn does not hold that registration, so submissions run through your own payroll software login or through your appointed, registered payroll agent; we prepare and check the run beforehand and post the journal entries once it has gone out.

Does Finbryn submit our Real Time Information report to HMRC?

Not directly. Your payroll software or an appointed, AML-supervised payroll agent submits the FPS and EPS. We check the draft pay run beforehand and record the resulting entries in your books once it has gone through.

Can you keep our existing payroll software?

Yes. We work inside Xero, QuickBooks Online, Sage or BrightPay, whichever you already run pay through, rather than asking you to switch.

Who decides our workplace pension scheme?

You do, together with your pension provider or adviser. We check that contributions taken from pay match the scheme's own rules and reconcile them against the provider's records.

What happens when we take on a new starter?

We check the starter's details and any P45 information are set up correctly before their first pay run, so tax code and pension enrolment are right from day one.

What falls outside the scope of payroll support?

We check gross-to-net calculations, reconcile PAYE and pension figures, and flag anything that looks wrong before payday. We do not choose your pension provider, decide employment status disputes, or submit the Real Time Information report ourselves, since that stays with your payroll software or a credentialed payroll provider.

What happens to payroll continuity if we change providers?

Payroll runs inside your own software, so your employee records, pay history and pension contributions stay put regardless of who reconciles them. We hand over a note on any recurring adjustment, benefit-in-kind treatment or open query, so a new provider can pick up the next pay run without a gap.

How is pricing structured for payroll support?

Pricing is set against headcount and pay frequency, weekly or monthly, rather than a single flat fee for every employer. Benefits administration and Construction Industry Scheme reconciliation, where they apply, are priced as add-ons and confirmed in your engagement letter before the first pay run.

What access do you need to check our payroll?

Read or reviewer access to your payroll software and pension portal, scoped to reconciliation rather than the authority to submit a Real Time Information report. We do not need access to run payroll ourselves, and any access is reviewed and removed once the engagement scope changes.
