Pricing and terms

How is pricing determined?

Pricing is based on transaction volume, the software you already use, and how much cleanup your books need before ongoing work starts. You can see current ranges on the pricing page, and your exact fee is confirmed in writing before work begins. There is no fee for the initial scoping conversation.

Is there a setup fee?

Some engagements include a one-time setup or catch-up fee separate from the ongoing monthly fee, depending on how current your books already are. Any setup cost is quoted up front once we have reviewed your file, so you know the full cost before you commit to anything.

What is included in the monthly fee?

The monthly fee covers the scope agreed in your engagement letter, such as bookkeeping, reconciliations and reports, reviewed by a senior principal before it reaches you. Anything outside that scope, such as a one-off project or a backlog catch-up, is quoted separately once the work involved is reviewed.

Can I change my plan later?

Yes. As your volume or needs change, your plan can be adjusted at the next billing cycle. Terms for changing or ending the engagement are set out in your engagement letter, and we walk you through them before you sign anything.

Do you require a long-term contract?

Terms are set out in your engagement letter, which you review and agree to before work starts. We would rather earn the renewal each period on the quality of the work than hold you to a term you are unhappy with.

What happens if I want to cancel?

You can end the engagement under the notice period set out in your engagement letter. We hand over your file, which stays in your own QuickBooks Online, Xero or Sage account, so nothing about your data depends on staying with us.

Security and data

Who can see our financial data?

Access is limited to the team members assigned to your account and the senior principal who reviews the work. Your data is never shared outside that assignment, and you can ask for a list of who currently has access at any point.

Where does our data live?

Your data stays inside your own QuickBooks Online, Xero or Sage account, which you own and control. We connect to it through the access you grant, and that access can be revoked by you at any time without affecting your file.

Is our data encrypted?

Yes. Data in transit and at rest inside the accounting and file-sharing tools we use is encrypted by those providers as part of their own security standards. We do not copy your financial data into a separate system outside the software you already use.

What happens to our data if we leave?

Nothing changes, because your file already lives in your own QuickBooks Online, Xero or Sage account. When the engagement ends we remove our team's access and hand over any supporting workpapers we built during the engagement, at no extra step for you.

Do you sign a confidentiality agreement?

Yes. Your engagement letter includes confidentiality terms covering how we handle your financial information, and we can sign a separate non-disclosure agreement in addition if your business requires one before work starts, at no extra cost to you.

How do you handle personal data under privacy law?

Personal data is handled under the terms set out in our privacy policy, including how it is collected, stored and, where relevant, transferred to other parties involved in delivering the work. You can read the full policy before starting an engagement.

How the work runs

How do we hand off our books?

You grant read-only access to your bank feeds and accounting software, and share any outstanding documents through the shared folder we set up together. From there we build an open-items list covering anything we still need from you to close the month.

How often will we hear from you?

You get a monthly close with a written note on anything unusual, plus a direct line for questions between closes. A message sent during business hours gets a response within one business hour on business days.

Who actually does the work on our account?

A named team works your file month to month, and a senior principal reviews every close before it reaches you. You will know who is on your account and how to reach each person directly.

What do you need from us each month?

Mainly read-only access to your accounts, receipts for card spend, and answers to the questions logged on your open-items list. The less that list carries over from one month to the next, the faster each close finishes.

Can you work with our existing software?

In most cases, yes. We work inside QuickBooks Online, Xero, Sage and the connected apps common to each, and if you have no file yet we set one up in your name so you own it from day one.

What happens if something looks wrong in our books?

It gets logged on your open-items list with a plain explanation of what we found and what we need from you to resolve it. Nothing gets adjusted without you seeing the reasoning behind the change first.

Switching providers

We already have a bookkeeper. How does switching work?

We review your current file, agree a start date, and run a short overlap period where your prior records are reconciled before ongoing work begins. You control when access for the old provider ends, so nothing is cut off before you are ready.

What if our books are behind when we switch?

We scope a catch-up covering the backlog period before ongoing bookkeeping starts, priced and timed separately from the monthly engagement. That way ongoing work begins from a clean, reconciled base rather than a rough estimate carried forward.

Will switching interrupt our reporting?

We aim to close the gap between providers so you are not left without a report for a full cycle. The exact handover plan depends on how current your prior records are on the day we start.

Can you take over mid tax year?

Yes. We can pick up bookkeeping at any point in the year, though tax preparation support works best once we have at least one full reconciled quarter to work from. We will tell you what is realistic once we review your file.

Do we lose our accounting history when we switch?

No. Your history lives in your own QuickBooks Online, Xero or Sage account, and it moves with you regardless of who does the bookkeeping. Switching changes who does the work, not where your records are stored.

What information do you need to quote a switch?

A look at your current file, your transaction volume, and how far behind reconciliations are, if at all. That is enough for an initial scope and price range, and we confirm the exact fee in writing before anything is agreed.

Tax preparation support

Do you file our tax return?

We prepare the workpapers and a draft return. Filing and signing is handled by a credentialed preparer, either one we work with or one you already use, so a qualified signer stands behind every return before it goes anywhere.

What do you need from us for tax preparation support?

Reconciled books for the year, any information slips you received from payers, and answers to a short questionnaire covering changes during the year. The cleaner your bookkeeping, the less back and forth this step takes.

Can you handle multiple entities or a personal return with business income?

Yes. We build the supporting workpapers for each entity or schedule separately, then hand a complete package to the credentialed preparer who reviews and signs the return once everything is reconciled, organized and cross-checked against your bookkeeping records.

How far in advance should we start?

As soon as your books for the year are reconciled, since preparation support depends on having a clean file to work from. Starting close to a statutory deadline limits how much review time is available before it arrives.

Do you handle estimated payments during the year?

Yes, where that is part of your engagement. We calculate estimated payment amounts from your year-to-date results so you are not caught by a large balance owing at filing time, and we flag any change as the year progresses.

What if we get a notice from a tax authority?

Send it to us as soon as you receive it. We review what it is asking for, gather the supporting documentation from your books, and a credentialed preparer handles the direct response where one is required by the authority.

Working with accounting firms

Do you work under our firm's name?

Yes. White-label engagements are billed and branded under your firm, with our team working as an extension of yours rather than a separate vendor your clients ever see, hear from, or need to know about directly.

Can you take on overflow during busy season?

Yes. Firms bring us in for seasonal overflow, cleanup projects or a dedicated pod of staff, scoped by the volume and deadlines you are working against that particular season, and adjusted again once the season passes.

Who reviews the work before it reaches our clients?

A senior principal on our side reviews every deliverable before it comes back to your firm, on top of whatever review your own team applies before it reaches the end client, so two sets of eyes see it first.

How do you handle confidentiality across multiple clients of ours?

Each client engagement is scoped and accessed separately, and our team follows the confidentiality terms set out in our agreement with your firm covering every file we touch on your behalf, across every client you bring to us.

Can we start with one client before committing further?

Yes. Many firms start with a single client or a small pod to test the workflow before expanding scope, and pricing scales with the volume you bring over time as trust in the workflow builds.

Do you prepare returns we then sign?

Yes. We build the workpapers and a draft return, and your firm's credentialed preparer reviews, adjusts and signs it before anything is filed. We never file or sign a return on your behalf under any circumstance.
