The problem with recording a payout as one deposit
A marketplace payout is not one transaction, it is dozens or hundreds netted together: gross sales, marketplace fees, refunds, reserves, and in Canada, GST/HST collected on the sale. Recording the whole thing as a single deposit hides all of that inside one number, which understates revenue, misstates expenses and makes it close to impossible to confirm how much GST/HST was actually collected during the period.
Setting up A2X or Link My Books for a Canadian seller
We connect A2X or Link My Books to the relevant marketplace, whether that is Amazon.ca, Shopify or another channel, and to QuickBooks Online, Xero or Sage 50 on the accounting side. The chart of accounts gets mapped for sales, marketplace fees, shipping, refunds and reserves, and GST/HST collected through the marketplace gets posted to its own account rather than blended into revenue, which matters directly at GST/HST filing time.
Reconciling historical settlements
For a business that has been running payouts through as lump deposits for months, historical settlements get imported and reconciled to marketplace statements as part of onboarding, so the switch does not leave a gap in the GST/HST trail. Tax settings inside the marketplace get reviewed at the same time to confirm collected tax is actually flowing through to the connector correctly.
Ongoing reconciliation
Once set up, payouts get reconciled monthly against the summarized entries A2X or Link My Books produces, so the numbers that reach the general ledger always tie back to what the marketplace actually paid out, fee by fee.
Questions
Frequently asked questions: A2X and Link My Books integration
What happens if a marketplace payout spans two months?
The payout is split so each month only carries the sales, fees and refunds that actually belong to it, rather than whichever month the deposit happens to land in.
Does A2X handle GST/HST collected on Canadian marketplace sales?
A2X splits out the tax component of a settlement; we map that into its own GST/HST account so it is visible separately from gross revenue.
Which marketplaces does A2X support for Canadian sellers?
Amazon.ca, Shopify, Etsy, eBay and Walmart are the ones we connect most often; we confirm current coverage against your specific channel before starting.
Can you connect A2X to Sage 50 as well as QuickBooks and Xero?
Yes, though the mapping is more manual in Sage 50 than in QuickBooks Online or Xero; we set it up either way.
