Inventory accounting
Inventory accounting tracks stock from purchase through sale so cost of goods sold is calculated, not guessed. Finbryn applies a consistent costing method for US businesses, reconciles inventory counts against the books, and flags slow-moving stock before it becomes a write-down surprise.

Why guessed cost of goods sold is a real problem
Many small businesses back into cost of goods sold by looking at what is left in the bank account, which tells you nothing about whether a specific product line is actually profitable. Real inventory accounting ties every unit sold to what it actually cost, so gross margin means something.
Choosing and applying a costing method
We apply FIFO, average cost, or specific identification, whichever fits how your inventory actually moves, and apply it consistently period over period. Changing methods without a reason distorts comparisons, so the choice gets made once and kept.
Periodic or perpetual, depending on your volume
A lower-volume business can run a periodic approach, counting stock at set intervals and calculating cost of goods sold from the change in inventory. Higher-volume sellers, especially on marketplaces, usually need a perpetual system that updates with every sale, often through a connector like A2X pulling in marketplace settlement data.
Reconciling counts against the books
A physical or cycle count is only useful if it gets reconciled against what the books say should be on hand. Differences get investigated, whether that is shrinkage, a miscount, or a receiving error, rather than just adjusted away.
Where this connects
Inventory accounting works alongside accrual-basis bookkeeping, since cost of goods sold under accrual has to match the period the related sale was recorded in, and it ties into the fixed asset register for equipment used to store or move that stock.
Questions
Frequently asked questions: Inventory accounting
Can you fix our cost of goods sold if it has been wrong for a while?
Yes. We can recalculate cost of goods sold for prior periods as part of a catch-up engagement and correct the inventory balance going forward.
What costing method is best for a small ecommerce seller?
FIFO is the most common default for physical goods sold in the order received. We will recommend a method once we review how your inventory actually turns over.
How often should a physical inventory count happen?
At least once a year, though businesses with tighter margins or higher shrinkage risk often benefit from a cycle count each quarter.
What does inventory accounting actually include, month to month?
Inventory accounting covers a costing method chosen and applied consistently (FIFO, average cost or specific identification), along with cost of goods sold calculated per period, not guessed. The work runs inside QuickBooks Online, Xero, A2X or NetSuite, the file stays under your own subscription, and a senior principal reviews the output before it reaches you each period.
What access do you need to start inventory accounting?
View or edit access to QuickBooks Online, Xero, A2X or NetSuite is enough to begin; nothing about your existing subscription or login changes on our side. Any additional access needed for a specific deliverable, such as a bank portal or receipt inbox, is agreed with you first, and the scope is set out in your engagement letter.
Do you track inventory inside QuickBooks or Xero, or a separate system?
Where a lightweight inventory add-on covers your volume we use it inside your existing software; for higher-volume sellers we connect a dedicated inventory system to the books.
Can you help if our cost of goods sold has been wrong for a while?
Yes. We can recalculate cost of goods sold for prior periods as part of a catch-up engagement and correct the inventory balance going forward.
How is inventory accounting priced?
Pricing for inventory accounting depends on your transaction volume, the software you use, and how much cleanup is needed before ongoing work starts. Current ranges are published on the pricing page, and your exact fee is confirmed in writing before anything begins.
What software works with inventory accounting?
Inventory accounting runs inside QuickBooks Online or Xero, whichever you already use. If you are not yet set up in either, we can configure a file in your name so you keep ownership of it once the engagement is under way.
