How the overnight close works, start to finish

Five steps, run every month, so your books are ready before your day starts.

Short answer

Finbryn's monthly close runs while the US sleeps. Transactions are ingested from your bank and card feeds, categorized against your chart of accounts, reconciled to statements, checked by a senior principal, and reported back with a clean profit and loss and balance sheet by business day five.

The process

The five steps

  1. Ingest

Bank, card and payment-processor feeds land in QuickBooks Online or Xero overnight, ready for the next step before your morning starts.

  2. Categorize

Every transaction is coded against your chart of accounts, with anything unclear flagged as an open question instead of guessed at.

  3. Reconcile

Each account is matched line by line against its statement, so the books tie to what actually happened in the bank.

  4. Review

A senior principal checks the coding, the reconciliation and anything flagged, before the close is called final.

  5. Report

You receive a profit and loss, balance sheet and open-items list by business day five, plus a short note on anything worth knowing.

Questions

How the close actually runs

Where is the work done?

The bookkeeping and preparation work is done by our accounting team in Pakistan, under a contract with Northlane Solutions Inc. in the United States, with a senior principal reviewing every month's work before it reaches you. Your data is handled under the safeguards set out in our privacy policy and security page, and your file stays in your own QuickBooks Online, Xero or Sage account.

What do you need from me each month?

Mainly nothing beyond bank and software access already connected at onboarding. We reach out only when something needs your input.

How fast do you reply if I have a question?

First reply within one business hour on business days, whether the question comes by email or through your named pod.

What happens to items you can't categorize?

They are listed as open items in your monthly report rather than guessed at, so nothing gets buried.

What if I need to reach someone outside a scheduled review?

You have a direct line to your named pod through your usual channel for anything that comes up between scheduled reviews, not only at month end. Response follows the standard set out in your engagement letter, within one business hour on business days.

How do you handle a month where something unusual happens, like a large one-off transaction?

An unusual item, such as a large asset purchase or a one-off refund, gets its own short note in that month's close rather than being buried in a normal category, so the profit and loss for the period still reads clearly against a typical month.

The standards behind every step

  • Weekly

Bank and card accounts reconciled every week, not in a month-end rush.

  • Day 5

Books closed and reported by the fifth business day of the month.

  • 1 hour

A first written reply within one business hour.

  • One pod

A named pod that knows your file, with a written handover if anything changes.

  • Your file

Your QuickBooks Online or Xero subscription stays in your name, with its full history.

  • Monthly

Month to month. No annual contract to get out of.
