Why software setup matters before the bookkeeping starts

A lot of bookkeeping problems are actually software problems. A chart of accounts built for a different business, a QuickBooks Desktop file that never made the move to Online, marketplace payouts landing as one lump deposit that hides fees and refunds: none of that gets fixed by working harder inside a broken structure. It gets fixed by rebuilding the structure first, before a single transaction gets categorized for the month.

You keep the QuickBooks or Xero file in your own name, on your own subscription. If you ever move on, you leave with your data and your login, not a file that belongs to us.

How a migration actually runs

Every migration starts with a working session to confirm the starting balance date, then a parallel import so nothing gets recorded twice. History gets tied out to bank and card statements, not just copied over from the old system. Once the new setup is live, a named pod stays on the account, and any change to how something is coded comes with a short recorded handover memo instead of a surprise on next month's report.

Do I own the QuickBooks or Xero file once you set it up?

Yes. The file is created in your name on your own subscription, and we work inside it under access you grant and can revoke at any time.

Can you migrate from QuickBooks Desktop to QuickBooks Online?

Yes, including historical transactions, open balances and your reporting structure, reconciled against bank and card statements as part of the move.

Will I lose transaction history during a migration?

No. We import history rather than starting fresh, and we keep a copy of the original file until the new one is reconciled and signed off.

Do you set up integrations like A2X, Dext or Bill.com, or just the core accounting platform?

Both. Most engagements pair core platform setup with the specific integrations a business already relies on, so data reaches the books without manual entry.

How long does a typical software migration take?

A single-entity move from one platform to another, such as QuickBooks Desktop to QuickBooks Online, is usually planned in weeks rather than months, with historical data imported first and a parallel-run period where both systems are checked against each other before the old one is retired.

What happens to our data if the migration project doesn't go as planned?

Nothing is deleted from the source system until you confirm the new file is correct and complete. A rollback point is kept until sign-off, and any discrepancy found during the parallel-run period is investigated before it is treated as final.

How is a software migration priced?

Migration work is scoped against the platforms involved, the volume of historical data and whether integrations such as A2X, Dext or Bill.com are part of the move, then priced as a fixed project rather than an hourly estimate. Terms are set out in your engagement letter.

Who has access to our data during the migration?

The pod running the migration has access to both the source and destination systems for the duration of the project, and that access is scoped to the migration and reviewed once the cutover is complete and the old system is archived or closed.
