Prepaid schedules
Finbryn maintains prepaid expense schedules for US businesses, listing each prepaid item and its term, calculating the monthly amount to release to expense, and reconciling the prepaid asset balance to the schedule, so an annual insurance premium or a yearly software license does not distort a single month's numbers.

Reviewer's note
Software is up on last month after two seats were added mid-month. Revenue includes one milestone invoice that will not repeat next month.

The problem a prepaid schedule solves
A business that pays a full year of insurance in January, or renews an annual software license in one lump payment, faces a choice: record the entire cost in the month it was paid, which makes that month look artificially expensive and every other month look artificially cheap, or spread the cost across the months it actually covers. US GAAP and basic management accounting both point to the second approach, and a prepaid schedule is how it gets done consistently.
Building and maintaining the schedule
We list every prepaid item, whether that is an insurance policy, a software subscription billed annually, a retainer paid to a vendor in advance, or prepaid rent, along with its total amount, its term, and the monthly amortization amount. Each month, a journal entry releases the correct portion from the prepaid asset into the expense line it belongs to, and the remaining prepaid balance is reconciled to the schedule so the balance sheet number always matches the detail behind it.
What we flag before it becomes a problem
The schedule also tracks when each prepaid item is coming up for renewal, so a lapse in an insurance policy or a software license does not catch you by surprise, and so a renewal decision gets made deliberately rather than by default.
Where this fits into your close
Prepaid amortization is one of the standard entries booked as part of every month-end close, alongside accruals for costs that work in the opposite direction: recognized before the cash moves rather than after.
Who this matters most for
Professional services firms, medical and dental practices, and law firms tend to carry the most prepaid balances relative to their size, given annual malpractice or liability insurance, licensing fees and software renewals common to those businesses.
Questions
Frequently asked questions: Prepaid schedules
What is the difference between a prepaid expense and an accrual?
A prepaid expense is cash paid before the cost is used up; an accrual is a cost recorded before the cash is paid. Both exist to match the expense to the right period.
Does a prepaid schedule affect how much tax I owe this year?
It affects your books, not automatically your tax return. Whether a prepaid amount is deductible in the year paid or spread out for tax purposes is a decision your tax preparer makes separately.
How far in advance do you flag a prepaid item coming up for renewal?
Typically thirty to sixty days ahead, depending on the item, so there is time to review the renewal before it happens automatically.
What does prepaid schedules actually include, month to month?
Prepaid schedules covers prepaid expense schedule listing each item, term and monthly amortization, along with monthly journal entries releasing the correct amount to expense. The work runs inside Google Sheets, Excel, QuickBooks Online, Xero or NetSuite, the file stays under your own subscription, and a senior principal reviews the output before it reaches you each period.
What access do you need to start prepaid schedules?
View or edit access to Google Sheets, Excel, QuickBooks Online, Xero or NetSuite is enough to begin; nothing about your existing subscription or login changes on our side. Any additional access needed for a specific deliverable, such as a bank portal or receipt inbox, is agreed with you first, and the scope is set out in your engagement letter.
What typically ends up on a prepaid schedule?
Annual insurance premiums, yearly software licenses, prepaid rent and retainers are the most common items.
Does a prepaid schedule change my tax return?
It affects your books, not automatically your tax treatment; your tax preparer decides how prepaid amounts are handled for tax purposes.
What is included in prepaid schedules?
Prepaid schedules covers prepaid expense schedule listing each item, term and monthly amortization and monthly journal entries releasing the correct amount to expense. The exact scope is agreed and set out in writing before work starts, so you know precisely what is and is not covered before the first deliverable arrives.
How is prepaid schedules priced?
Pricing for prepaid schedules depends on your transaction volume, the software you use, and how much cleanup is needed before ongoing work starts. Current ranges are published on the pricing page, and your exact fee is confirmed in writing before anything begins.
