What happens each month

Every bank, card and payment-processor account gets matched line by line to its statement. Transactions are categorised against a chart of accounts built for how the business actually earns money, not a generic template. We close with:

  • A profit and loss statement and a balance sheet
  • A reconciliation report for every connected account
  • A short, plain-language note on anything unusual, such as a large transfer or a vendor billed twice

Software and handoff

We work inside Xero, QuickBooks Online, Exact, Sage or SAP Business One, whichever the business already runs, and you keep the login and the subscription in your own name. If a VAT return, OSS filing or local statutory account is due, the books are handed to your registered local partner in a state ready for filing, not half finished.

When the volume grows

As a business adds a second or third member state, the monthly workload grows faster than the transaction count, because each country can carry its own VAT treatment and reporting quirks. We scale the monthly close to match, without asking you to renegotiate scope every time a new country gets added.

Do we need to switch accounting software to work with you?

No. We work inside whatever you already run, most commonly Xero or QuickBooks Online across EU businesses, and set one up in your name if you have none yet.

What do you need from us each month?

Read-only bank access, receipts for card spend, and short answers to the questions we log against the month's open items.

Will this be enough for our VAT or OSS filing?

The books are kept ready for that filing. The VAT, OSS or IOSS return itself is lodged by your registered local partner or your own registration.

What day of the month does our close land on?

We agree a fixed close date, typically business day five, when the engagement starts, so reports arrive on a predictable schedule rather than drifting month to month depending on how busy that particular period turns out to be.

Can you work from scanned receipts instead of a connected bank feed?

Yes, though a connected bank or card feed speeds reconciliation considerably; scanned receipts and statements still work but add a manual matching step each month that a live feed would otherwise handle automatically. We flag which method your account is running on so expectations stay clear each month.

Do I have to switch accounting software?

No. We work inside your QuickBooks Online or Xero file. If you have no file yet, we set one up in your name so you own it from day one.
