Collections for Hong Kong receivables

A reminder cadence is set for invoices approaching and past due, with payment reminder emails sent on your behalf and every follow-up logged against the customer. This is early-stage follow-up on your own receivables, not third-party debt collection, and it stops at the point where you decide to escalate.

Hong Kong's business culture spans customers paying in HKD, USD and RMB across the territory, mainland China and the wider region, so reminders are timed to normal business hours in the customer's own market where that information is available. Disputed invoices are flagged and routed back to you rather than chased further, and a short weekly list highlights the accounts that need your direct attention.

Is this a debt collection agency service?

No. This is early-stage follow-up using your own templates and tone, sent on your behalf. If an account needs formal debt collection or legal action, that decision and next step are yours.

How do you time reminders for customers across different markets?

Where we know the customer's location, whether Hong Kong, mainland China or elsewhere, reminders are timed to that market's normal business hours rather than sent on a single fixed schedule.

Will unresolved receivables cause a problem at audit time?

An overdue balance itself is not automatically a problem, but an undocumented one can raise questions. A logged collections history gives your auditor a clear record of what was chased and when.

What happens if a customer disputes an invoice during collections?

Follow-up on that invoice stops, and the dispute is logged and flagged to you with the reason the customer gave. We do not keep chasing a disputed balance until you confirm how you want it resolved.

Does collections work require new software?

No. Reminders and the follow-up log run inside the Xero or QuickBooks Online account you already use, so there is nothing new to buy or set up before this starts, and the record stays in your file once the balance is cleared.

Will collections calls come from a third-party agency?

No. Reminders and follow-up come from your own business, using the templates and tone you approve. This is early-stage follow-up, not debt collection.

What happens with a customer who still will not pay?

We bring it to you with the full history logged. Whether to write it off, escalate to a collections agency or pursue it further is your call.

What if our records for collections are not up to date?

If your records are behind, we scope a catch-up first so collections starts from a clean, reconciled base. That catch-up is priced and timed separately from the ongoing engagement, so you always know what each part costs.

Who reviews the work before it reaches us?

Every deliverable under collections is reviewed by a senior reviewer before it reaches you. You keep access to the underlying file at every stage, so nothing about the work happens somewhere you cannot see it.
