Every overdue account gets a written note shortly before its due date, a firmer follow-up once it has passed, and a direct call if neither lands a response. The wording comes from you, sent from your own business number or address, and runs through whichever of Zoho Books, QuickBooks Online or Xero you already use, rather than a bolt-on collections app your customer has never seen before.

Why the trail matters more than the reminder itself

Every WhatsApp message, phone call and email gets logged against the invoice with whatever the customer said back, so a slow account never depends on one person's memory of who was called last week. A short list surfaces only the accounts that actually need your attention each week, rather than repeating every reminder sent back at you.

Group and branch accounts

A Saudi company with more than one branch, or a GCC group with a holding structure spanning Riyadh and a second city, often issues receivables under more than one Commercial Registration. We keep the chase log in one place regardless of which CR issued the original invoice, so whoever reviews the group's receivables sees one picture rather than reconstructing it branch by branch.

Where this stops

This is early, in-house follow-up, not debt collection through a third party or the courts. A genuinely disputed invoice goes back to you rather than getting chased further, and an account that will clearly never pay is handed over with its full history attached so you decide whether to write it off, which then also feeds the Zakat base the receivable figures sit behind, or pursue it through your own channels.

No. Every message is sent as your own business, in your own wording, through your accounting software. This is early follow-up, not third-party debt collection.

Can the cadence run in Arabic as well as English?

Yes, we send in whichever language you already use with a given customer, and keep the tone consistent with your own past correspondence.

How does a chase cadence get set for a Saudi customer?

It usually starts with a courteous note a few days after the due date, then a firmer follow-up, then a call, with the exact pace agreed with you since a long-standing customer may warrant a softer approach than a one-off order.

What happens once a customer is handed to us as unlikely to pay?

We stop chasing and hand it back with the full contact history attached. Writing it off, escalating it, or pursuing it through your own legal counsel is your decision, not ours.

Will collections calls come from a third-party agency?

No. Reminders and follow-up come from your own business, using the templates and tone you approve. This is early-stage follow-up, not debt collection.

What happens with a customer who still will not pay?

We bring it to you with the full history logged. Whether to write it off, escalate to a collections agency or pursue it further is your call.

What if our records for collections are not up to date?

If your records are behind, we scope a catch-up first so collections starts from a clean, reconciled base. That catch-up is priced and timed separately from the ongoing engagement, so you always know what each part costs.

Who reviews the work before it reaches us?

Every deliverable under collections is reviewed by a senior reviewer before it reaches you. You keep access to the underlying file at every stage, so nothing about the work happens somewhere you cannot see it.
