What sits between benefits and bookkeeping

Every Hong Kong employer runs a Mandatory Provident Fund scheme, and many add medical or life insurance on top. Both are set up once with a trustee or broker, then run quietly for a year through payroll deductions and periodic invoices. The two do not always stay in sync: a new joiner's MPF enrolment lands a pay period late, or an insurer's invoice still includes someone who left the company months ago.

MPF enrolment and contribution tracking

We check that new employees are enrolled with the MPF trustee within the required window and that the contribution rate applied in the payroll platform matches the current income band, from HK$7,100 up to the HK$30,000 cap. Contributions withheld from pay are reconciled against the trustee's own contribution statement.

Additional benefits

Where a company offers medical, life or other voluntary benefits, we check enrolment and deduction records against what is set up in the payroll platform, then reconcile the provider's invoice line by line against those records. Employer and employee cost allocations get recorded in Xero, QuickBooks Online or Zoho Books so the expense split is accurate.

Coverage changes during the year

When a benefit changes, an employee adds a dependant, drops cover, or a new hire enrols mid-cycle, we track the change and confirm it appears correctly on the next pay run before it becomes a bigger discrepancy at the next invoice.

What this does not include

We do not select an MPF trustee, choose a benefits provider, or make eligibility determinations under a scheme's rules. Those decisions sit with you and your broker or trustee. Our role starts once a scheme is in place: tracking, reconciling and recording it accurately period after period, alongside the work covered in payroll journals and reconciliations.

Do you choose our MPF trustee or benefits provider?

No. Trustee and provider selection are decisions for you, often with a broker. We take over once a scheme is in place, to track and reconcile the contributions and costs.

How do you catch a mismatch between an invoice and payroll deductions?

By comparing the provider's invoice line by line against current enrolment records and the deduction rates running in the payroll platform, then flagging anything that does not match.

Do you check that MPF contributions stay within the income cap?

Yes. For monthly income above HK$30,000, each party's contribution is capped at HK$1,500. We confirm the payroll platform applied that cap before the contribution is reconciled.

What happens if an employee's MPF contribution looks wrong against their pay?

It is flagged with the pay period, the amount recorded and the amount expected under the contribution rate, so you or your MPF trustee can correct it before it compounds across several months of contributions.

Do you track benefits other than MPF, such as medical insurance premiums?

Yes. Any recurring benefit invoice, such as a group medical plan, is coded and reconciled against the provider's statement the same way MPF contributions are, so the full benefits cost is visible in one place.

Do you choose our benefits plans or broker?

No. Plan design and broker selection are decisions for you. We record and reconcile the costs and deductions once a plan is in place.

What happens when an employee's coverage changes mid-year?

We track the change and confirm it is reflected in the deduction amount on the next pay run, then reconcile it against the provider's invoice.
