What sits between benefits and bookkeeping
A health plan, dental plan or retirement contribution is set up once with a broker or provider, then quietly runs for a year through payroll deductions and monthly invoices. The two rarely stay perfectly in sync on their own. An employee's coverage tier changes and the payroll deduction is updated a pay period late, or a provider's invoice includes someone who left the company two months ago.
What we track
We check benefit enrollment records and deduction rates against what is actually set up in your payroll platform, then reconcile the provider's invoice against those enrollment records and the amounts actually billed. Employer and employee cost allocations get recorded in QuickBooks Online, Xero, NetSuite or Sage Intacct so the expense split between the business and its employees is accurate, not an estimate.
Coverage changes during the year
When coverage changes, whether an employee adds a dependent, drops a plan, or a new hire enrolls mid-cycle, we track the change and confirm it shows up correctly on the next pay run's deduction before it becomes a bigger discrepancy at the next provider invoice.
401(k) and retirement plan contributions
Where a retirement plan is offered, employee and employer contributions withheld from payroll get reconciled against what the plan administrator's statement shows was actually received, which is the same kind of check that keeps other payroll liabilities honest.
What this does not include
We do not select benefit plans, negotiate with a broker or provider, or make eligibility determinations under a plan document. Those decisions sit with you and your broker or benefits adviser. Our role starts once a plan is in place: tracking, reconciling and recording it accurately month after month, alongside the payroll coordination covered in US payroll coordination.
