What sits between benefits and bookkeeping

An extended health plan, dental plan or group RRSP is set up once with a broker or provider, then runs quietly through payroll deductions and monthly invoices for the rest of the year. The two can drift out of sync without anyone noticing, such as a coverage tier change that updates in the payroll platform a pay period late, or a provider invoice still billing someone who left months earlier.

What we track

We check benefit enrollment records and deduction rates against what is actually set up in your payroll platform, then reconcile the provider's invoice against those enrollment records and the amounts billed. Employer and employee cost allocations are recorded in QuickBooks Online, Xero or Sage 50 so the expense split between the business and its employees reflects what actually happened, not an estimate.

Coverage changes during the year

When a dependent is added, coverage is dropped, or a new hire enrols mid-year, we track the change and confirm it appears correctly on the next pay run's deduction before the discrepancy shows up on the next provider invoice.

Group RRSP and retirement contributions

Where a group RRSP or similar plan is offered, employee and employer contributions withheld through payroll are reconciled against what the plan administrator's statement shows was actually received, the same check that keeps other payroll liabilities honest.

What this does not include

We do not select benefit plans, negotiate with a broker or provider, or make eligibility calls under a plan document. Those decisions sit with you and your broker. Our role starts once a plan exists: tracking, reconciling and recording it accurately, alongside the coordination covered in payroll source deductions.
