What sits between benefits and bookkeeping

Salary packaging, novated vehicle leases and other fringe benefits are set up once through a provider, then run quietly through payroll deductions for a year. The deduction taken from an employee's pay and the invoice a provider sends rarely stay in sync without someone checking, and every one of these arrangements carries a Fringe Benefits Tax exposure that has to be tracked separately from ordinary payroll.

What we track

We check salary-packaging and novated-lease deduction records against what is set up in the payroll platform, then reconcile the provider's invoice against those records and the amount actually billed. Employer and employee cost allocations are recorded in Xero, MYOB or QuickBooks Online so the expense split is accurate rather than estimated at year end.

Fringe Benefits Tax

The FBT year runs from 1 April to 31 March, separate from the ordinary financial year, with the FBT rate itself at 47%. Because it sits on its own annual cycle, benefits recorded during a financial year need to be reclassified onto the FBT year for reporting, which is where a lot of the reconciliation work in this service goes.

Coverage changes during the year

When an employee adds, changes or drops an arrangement, we track the change and confirm the next pay run's deduction reflects it correctly, before it becomes a larger gap at the next provider invoice.

What this does not include

We do not select benefit providers, negotiate novated-lease terms, or determine FBT liability positions; those sit with you and your adviser. Our role starts once an arrangement is in place, alongside the payroll coordination in Australian payroll coordination.
