Stripe and Shopify integration

Short answer

UK online sellers using Stripe or Shopify get payouts that bundle sales, processing fees and refunds into one figure. Finbryn connects both to Xero or QuickBooks Online and reconciles payouts against processor statements, with VAT collected through Shopify checked against what actually posts to the books.

Why a single payout line understates the picture

A Stripe or Shopify payout landing as one bank deposit hides the processing fees, refunds and chargebacks that sit behind it. For a UK company already close to VAT registration, or one already registered and filing under Making Tax Digital, that single number also obscures whether VAT collected at checkout is actually the VAT posted to the ledger.

What the integration covers

We connect Stripe and Shopify accounts to Xero or QuickBooks Online, map the chart of accounts for gross sales, processing fees, refunds and chargebacks, and reconcile daily or weekly payouts against processor statements rather than against the bank balance alone. VAT collected through Shopify checkout gets reviewed against what the software actually posts, since UK VAT rates and zero-rated categories are not always mapped correctly out of the box.

Historical settlements

During onboarding, historical settlements get imported and tied out, so the transition from an unreconciled or manually recorded set of payouts to a fully mapped integration does not leave a gap in the trading history the business relies on for management reporting or a lender's request.

Ongoing reconciliation

Once live, payouts reconcile against processor statements each period as part of ongoing bookkeeping, which keeps net revenue and processing costs visible separately rather than blended into a single deposit figure that changes meaning from month to month. A named pod stays on the account so the same person who set the mapping up is the one checking it each period.

Questions

Frequently asked questions: Stripe and Shopify integration

Should Stripe or Shopify payouts post as one deposit or broken into components?

Broken out. A single deposit line hides fees and refunds, which distorts both the profit and loss and the VAT figures for the period.

Do you check that Shopify is charging the correct UK VAT rate at checkout?

We review what Shopify posts against UK VAT rates and zero-rated categories as part of setup, though the rate configuration itself is a decision made in the Shopify settings.

Can you reconcile both Stripe and Shopify Payments if we use both?

Yes, both route through the same reconciliation process once connected, with payouts from each tied out separately.

How do you handle Stripe fees that differ by card type or currency?

Fees are broken out per payout so the true cost of accepting a specific card or currency is visible, rather than an average fee rate applied across every transaction, which matters if you are comparing the actual cost of Stripe against another processor.

Can this integration handle a Shopify store selling in multiple currencies?

Yes, multi-currency Shopify sales are recorded at the correct exchange rate for each transaction, with any currency gain or loss on settlement tracked separately, so a strengthening or weakening pound does not get buried inside your reported sales figure.

Should Stripe payouts be recorded as one deposit or broken out?

Broken out. A single deposit line hides fees and refunds, which understates expenses and overstates net revenue for the period.

Do you handle Shopify Payments as well as Stripe directly?

Yes, both route through the same reconciliation process once connected.

What software works with stripe and Shopify integration?

Stripe and Shopify integration runs inside Stripe or Shopify, whichever you already use. If you are not yet set up in either, we can configure a file in your name so you keep ownership of it once the engagement is under way.

How do we get started with stripe and Shopify integration?

Getting started with stripe and Shopify integration begins with a short review of your current records and software access. Once that is done we confirm scope and timing in writing, and ongoing work begins on the schedule agreed with you.
