Bank and credit card reconciliation

Short answer

Bank and credit card reconciliation for UAE companies: every account, from a mainland current account to a DIFC or ADGM account and a Stripe or Telr payment feed, is matched against its statement inside QuickBooks Online, Xero or Zoho Books, so the ledger balance always agrees with the bank and nothing is left unexplained at month end.

The accounts we are actually reconciling

A UAE company rarely banks in one place. A trading account at Emirates NBD or Mashreq, a second account at RAKBANK or Wio for a specific project or free zone entity, and a card or payment-gateway settlement account are each matched against their own statement, never blended into one number that only roughly ties to the main account.

Working through what does not match

A transfer, a card settlement or a gateway payout gets matched to the bank feed line for line. Anything that will not tie out cleanly gets investigated before it is posted, rather than forced to balance on a guess that someone has to unwind weeks later once the real answer surfaces.

Timing gaps that are not errors

A refund posted days after the original sale, a gateway payout that settles a week behind the transaction, or a cheque still sitting uncleared: all of these get tracked as open items rather than squeezed to balance on the day they happened. The reconciliation report names exactly what is still outstanding, account by account.

What a reconciled feed makes possible at filing time

VAT figures, and the Qualifying Income split for a free zone entity holding Qualifying Free Zone Person status, all sit on top of a reconciled bank feed. When the Federal Tax Authority or a licensed auditor asks how a figure was reached, the reconciliation report answers directly rather than sending anyone back through months of statements to rebuild the trail.

Accounts held outside dirhams

A trading company paying overseas suppliers directly, or a subsidiary of a US or European group, gets its dollar or euro accounts reconciled in their own currency first, then converted at the correct rate before rolling into an AED-denominated report. This runs as part of monthly bookkeeping for an ongoing client, and it is the first thing rebuilt inside a catch-up engagement.

Questions

Frequently asked questions: Bank and credit card reconciliation

Which UAE banks and payment gateways can you reconcile?

Any bank feed your software connects to, plus payment gateways such as Stripe, Telr and PayTabs, reconciled to the underlying sales and fees, not just the net payout.

What happens when the bank balance and the books do not agree?

We trace the gap to a specific transaction, timing item or bank charge and note it on the reconciliation report rather than forcing a match.

Do you reconcile a DIFC or ADGM entity's account differently from a mainland one?

The method is the same; we simply keep each entity's accounts and statements separate so a free zone and mainland structure never gets mixed on one report.

Can you reconcile a foreign-currency account alongside our dirham accounts?

Yes, each is reconciled in its own currency, then converted at the correct rate for consolidated reports.

How many accounts can you reconcile?

As many as the business uses. Every connected bank, card and payment-processor account is reconciled on the same schedule.

What happens when the bank balance and the books disagree?

We trace the difference to a specific transaction, timing item or bank fee and note it on the reconciliation report rather than forcing the numbers to match.

What if our records for bank and credit card reconciliation are not up to date?

If your records are behind, we scope a catch-up first so bank and credit card reconciliation starts from a clean, reconciled base. That catch-up is priced and timed separately from the ongoing engagement, so you always know what each part costs.

Who reviews the work before it reaches us?

Every deliverable under bank and credit card reconciliation is reviewed by a senior reviewer before it reaches you. You keep access to the underlying file at every stage, so nothing about the work happens somewhere you cannot see it.
