A typical month
Once the month closes, we work through every bank, card and payment-provider feed inside your ledger. Each line is coded against your chart of accounts, receipts and bills are attached, and every account balance is agreed to its statement. Where a payment has no obvious explanation, it goes on a query list rather than being guessed at.
Once the queries are answered
We finalise the month and send a profit and loss account and a balance sheet. Businesses on the accrual basis also get debtors and creditors kept current, so the figures show what is owed and owing rather than just the cash in the bank.
VAT-registered businesses
For VAT-registered clients we keep VAT coding right as we go, so the quarter's workings are ready for review the moment the last month closes. You or your appointed UK agent then review and submit the return through MTD-compatible software; we prepare, we do not submit.
Payroll and CIS
If you run payroll, or operate under the Construction Industry Scheme, we post the journals from your payroll or CIS software into the ledger each month so it agrees with what was actually paid and deducted. The submissions themselves stay with your payroll provider or CIS-compliant software.
Ready for year end
Because every month is reconciled as it happens, year end starts from a clean trial balance rather than a scramble in March. If the months before we start are not in order, catch-up bookkeeping comes first. Online sellers can get in touch about how marketplace settlements from Amazon or Shopify are handled inside the ledger.
If your accountant asks for a particular schedule, a fixed asset register or a director's loan account tracker, tell us once and we keep it current every month afterwards.

When will my monthly figures be ready?
We set a close date with you when you join, based on when your feeds, bills and receipts are complete.
Do you use Dext or Hubdoc?
Yes, if you already use one of them. If not, we can suggest the one that fits the way you collect receipts.
Can I stay with my current accountant for year end?
Of course. We keep the books monthly and hand your accountant a reconciled trial balance at year end.
What happens if we send documents late in a given month?
The close for that month may need to wait for the missing information, since a report built without it would be inaccurate. We flag outstanding items early rather than at month end, so a late document rarely delays the close by more than a few days once it arrives.
Can you flag unusual transactions as they come in, rather than at month end?
Yes, anything that looks off, a duplicate charge, a category that does not fit, an amount that jumps sharply, is flagged during the month rather than saved for the month-end report, so you can act on it while it is still fresh rather than weeks later.
Do I have to switch accounting software?
No. We work inside your QuickBooks Online or Xero file. If you have no file yet, we set one up in your name so you own it from day one.
What do you need from me each month?
Read-only bank feeds, receipts for card spend, and answers to the questions we log on the open-items list.
