Cash application

Short answer

Incoming UAE customer payments, by bank transfer, card or cheque, are matched to the right invoice and posted in Xero, QuickBooks Online or Zoho Books, so your receivable balance always reflects what a customer genuinely still owes rather than what the bank feed happens to show.

Money in the bank feed still needs a home

A transfer, card settlement or cheque landing in the account gets matched to the specific invoice or invoices it settles, whether it arrived from a Dubai mainland customer, a free zone counterpart, or a payer elsewhere in the Gulf. A partial payment or an amount that does not quite match gets flagged rather than forced onto an invoice on a guess, and you decide how it should actually sit.

The reference that does not match anything

A transfer with no reference, or a reference that points at an invoice already closed, sits on a short unresolved list until the payer is confirmed rather than lingering as a mystery balance in the feed for weeks. Where a card or gateway payment carries a processing fee, that fee gets split out separately so the invoice shows the true amount actually collected against it.

AED and foreign currency, matched separately

A receipt landing in a USD or other foreign-currency account from a customer trading in that currency still gets matched back to its own invoice, with the exchange gain or loss recorded rather than folded silently into whatever the receivable balance happens to show.

Why this runs daily, not monthly

A payment matched to the wrong invoice, or matched a week late, makes a paid customer look overdue on the very report meant to flag genuine risk, which is exactly backwards. Matching runs daily so the receivable balance reflects reality when you actually look at it, and a collections reminder never goes out to someone who has already settled the account.

Questions

Frequently asked questions: Cash application

What happens when a UAE customer pays the wrong amount?

It is held as an open item with a note on what does not match, and we ask you how to apply it rather than guessing.

Do you handle payments landing in a multi-currency account?

Yes. Payments from AED and foreign-currency accounts are all matched back to invoices regardless of which account they land in, with any exchange difference recorded.

How quickly is a payment matched after it clears?

Matching runs daily, rather than being left until month end, so the receivable balance is current when you check it.

What happens to a payment that cannot be matched to an invoice?

It sits as an unapplied receipt flagged for review rather than being guessed onto the wrong invoice. We follow up with you or the customer to identify it correctly.

What happens when a customer pays the wrong amount?

We hold it as an open item, note what does not match, and ask you how to apply it rather than guessing.

Do you handle payments across multiple bank accounts or processors?

Yes. Deposits from Stripe, PayPal, ACH and wire all get matched back to invoices regardless of which account they land in.

What is included in cash application?

Cash application covers incoming payments matched to the invoice or invoices they settle and partial payments and overpayments flagged for your instruction. The exact scope is agreed and set out in writing before work starts, so you know precisely what is and is not covered before the first deliverable arrives.

How is cash application priced?

Pricing for cash application depends on your transaction volume, the software you use, and how much cleanup is needed before ongoing work starts. Current ranges are published on the pricing page, and your exact fee is confirmed in writing before anything begins.
