Cash application

Short answer

Incoming customer payments, whether by SEPA transfer, card or another method, are matched to the right invoice and posted in the currency they arrived in, with processor fees separated from the gross amount, so your accounts receivable across member states always reflects what is genuinely still owed.

Matching a payment to an invoice, across currencies

A SEPA transfer from a customer in Germany and a card payment from a customer in Denmark do not always land looking like the invoice they are settling, especially once a payment processor's fee is netted out before it reaches your account. We match each incoming payment to the invoice or invoices it settles, in the currency it was received, so accounts receivable reflects reality rather than a rough guess.

Partial payments and processor fees

Partial payments and overpayments are flagged for your instruction rather than applied automatically to whichever invoice looks closest. Payment processor fees are separated from the gross amount received, so the invoice shows as paid in full even when the amount that hit your bank account was slightly lower.

Unidentified deposits

A deposit that arrives with no clear reference, which happens more often on cross-border SEPA and card transfers than on domestic ones, is held on a short list until the customer is confirmed rather than guessed at and applied to the wrong account.

Keeping AR current

Applying payments promptly keeps your accounts receivable ageing accurate, which is what AR ageing reports against each month. See how it works for the onboarding steps or book a call to talk through your payment mix.

Questions

Frequently asked questions: Cash application

Do you handle SEPA transfers as well as card payments?

Yes, across the payment methods and currencies your customers use, matched to the invoice each payment settles.

What happens when a deposit has no clear reference?

It is held on a short list until the customer is confirmed, rather than applied to the wrong invoice on a guess.

Are processor fees separated from what a customer paid?

Yes. The fee is separated from the gross amount so the invoice shows as settled in full even when a lower net amount reached your account.

What happens when a single deposit covers several invoices?

We split the deposit against each invoice it settles using the remittance advice or payment reference, so no single invoice is left showing as partially paid when the underlying deposit has actually cleared it in full.

Do you apply payments as they land, or in a batch?

Payments are matched and applied within the business day they are identified in the bank feed, so the ageing report reflects cleared cash rather than a lag of several days between the deposit landing and the books catching up.

What happens when a customer pays the wrong amount?

We hold it as an open item, note what does not match, and ask you how to apply it rather than guessing.

Do you handle payments across multiple bank accounts or processors?

Yes. Deposits from Stripe, PayPal, ACH and wire all get matched back to invoices regardless of which account they land in.

What is included in cash application?

Cash application covers incoming payments matched to the invoice or invoices they settle and partial payments and overpayments flagged for your instruction. The exact scope is agreed and set out in writing before work starts, so you know precisely what is and is not covered before the first deliverable arrives.

How is cash application priced?

Pricing for cash application depends on your transaction volume, the software you use, and how much cleanup is needed before ongoing work starts. Current ranges are published on the pricing page, and your exact fee is confirmed in writing before anything begins.
