KSA edition
Six steps, run the same way every month, regardless of who is on shift.
The close does not depend on memory. It follows the same sequence whether your file is quiet or busy.
Bank and payment feeds land in your Zoho Books, QuickBooks Online or Xero file first. From there, transactions get coded, VAT is matched line by line, and the Zakat or tax figure is refreshed against that month's activity, all before a senior reviewer signs the month off and figures reach your inbox.
The process
The sequence, every month
Feeds arrive
Bank, card and payment-provider feeds land in your ledger, so the working day begins with data already sitting there.
Lines get coded
Each transaction is matched to your chart of accounts. Anything lacking a clear paper trail goes to a query list rather than getting coded on a guess.
VAT is matched
Output and input VAT are checked line by line against invoices and the bank statement, so the figure behind your return is already verified, not calculated cold at filing time.
Zakat and tax figures refresh
For a company with mixed Saudi, GCC and foreign ownership, the Zakat base and the corporate income tax share are recalculated against the actual month, rather than estimated and corrected at year end.
A senior reviewer checks it
Someone more senior than whoever coded the month checks the reconciliation, the VAT position and every open query before anything is called final.
You receive the figures
A profit and loss statement, a balance sheet and a short note on anything worth your attention land in your inbox.
Questions
Questions about the sequence itself
Does the close differ depending on my VAT filing frequency?
The reconciliation work is identical either way. Whether your taxable supplies put you above the SAR 40 million threshold for monthly filing or below it for quarterly filing only changes when the return itself gets submitted, not how carefully the underlying figure is checked.
What do you need from me between closes?
Mostly nothing beyond the bank and software access set up when we started, plus your current Saudi, GCC and non-Saudi ownership percentages. We come back to you only when a specific query needs an answer only you have.
How fast do you respond if a figure looks wrong?
Inside one business hour on a working day, whether the question lands by email, WhatsApp or through your named pod.
What happens to a line item nobody can confidently code?
It sits on that month's query list rather than getting forced into a category on a guess, so nothing is quietly buried under an assumption.
Who is actually doing this work?
Our delivery team, operating under contract with Northlane Solutions Inc. in the United States, with a senior reviewer signing off on every month before it reaches you. Your file stays in your own accounting software throughout.
What does the very first month look like?
Expect it to focus on the chart of accounts, connecting feeds, confirming the ownership split that drives the Zakat and tax calculation, and clearing whatever backlog exists, so the second month starts from a settled base.
