Childcare centers
Finbryn provides bookkeeping for childcare centers, reconciling tuition, autopay and state subsidy payments from Procare or Brightwheel to the bank each month. Registration fees and deposits are handled as deferred revenue, and classroom and site profit reports sit in QuickBooks Online or Xero.

Reviewer's note
Software is up on last month after two seats were added mid-month. Revenue includes one milestone invoice that will not repeat next month.

Exceptions report
Where the books usually hurt
Tuition billed in the enrollment system does not match deposits, autopay batches and state subsidy payments
Registration fees and deposits are booked as income on receipt
Payroll is the largest cost and swings with staffing ratios, but nobody sees it by classroom or site
Subsidy reimbursements arrive weeks late and sit as unexplained receivables
Three kinds of money arrive for one child
A single enrolled child may generate a parent's autopay, a copay at the front desk and a state subsidy payment weeks later, all against one invoice. The enrollment system shows what was billed; the bank shows deposits that combine several families. Finbryn matches billing and payment exports from Procare or Brightwheel to deposits, so every month you can see what is paid, what is on a subsidy claim and what is simply overdue.
Subsidy claims run through the state's child care program, usually funded through the federal Child Care and Development Fund. Reimbursement timing and rules differ by state, so we track each claim from submission to payment and flag short payments for your director to chase. We do not file claims.
Fees, deposits and tuition credits
Registration fees, deposits and prepaid weeks are not income until the service is delivered or the fee is earned. Booked as received, they flatter a slow month and punish the next one. We hold them as deferred revenue under ASC 606 and release them on a schedule: over the enrollment period for registration fees, as the week is attended for prepayments. Refundable deposits stay as liabilities until applied or returned. Sibling discounts and staff-child tuition are tracked as discounts so gross tuition stays visible.
Payroll and profit by classroom
Teacher payroll is the largest cost, and it moves with staffing ratios set by your state's licensing rules. We tag payroll, supplies and food cost to each classroom or site, so a report shows which room or location is covering its costs. Multi-site operators get one consolidated view plus a statement per center.
What we see and what we do not
Enrollment systems hold children's records. Our team works from finance exports, such as ledgers, payment reports and aged balances, and does not need access to child profiles or health information.
Working with Finbryn
You keep the file and own the books. A named pod runs the account on an agreed monthly close calendar. Centers with an old backlog begin with a catch-up project, then use monthly bookkeeping. Schools run by a nonprofit are covered on the nonprofits page. Pricing is on the pricing page.
Questions
Frequently asked questions: Childcare centers
How are registration fees and deposits treated?
As deferred revenue or deposit liabilities, not income on receipt. Registration fees are released over the enrollment period under ASC 606; refundable deposits stay as liabilities until applied or returned. Checked 2026-10-09.
Do you file subsidy claims?
No. Your center files claims with the state program. We track each claim from billing to payment and flag short or late payments.
Can you show profit by classroom?
Yes. Payroll, supplies and food cost are tagged to classrooms or sites, so you can see which rooms cover their costs.
Do you need access to children's records?
No. We work from finance exports only, such as ledgers, payment reports and aged balances.
Do you cover private schools?
Nonprofit private schools are covered on our nonprofits page, which adds tuition, restricted gifts and Form 990 support.
Can you reconcile tuition from Procare or Brightwheel to the bank?
Yes. Billing and payment exports are matched to deposits, autopay batches and subsidy payments each month.
Do you track state subsidy receivables?
Yes. Each subsidy claim is tracked from billing to payment so late or short-paid claims are visible.
What are the common bookkeeping challenges for a childcare center?
Registration fees booked too early, subsidy timing and payroll that is not tracked by site come up most. We build the chart of accounts and close checklist around them.
What software do you support for childcare centers?
We work inside QuickBooks Online and Xero alongside Procare and Brightwheel, using finance exports only. If you have no file yet, we set one up in your name.
