Reviewer's note

Software is up on last month after two seats were added mid-month. Revenue includes one milestone invoice that will not repeat next month.

Exceptions report

Where the books usually hurt

  • Practice-management deposits and card batches do not match the bank, so daily revenue is a guess

  • Pharmacy and retail inventory is expensed on purchase and cost of goods never lines up with sales

  • Wellness plan payments are booked as income when billed, not as service is delivered

  • Owners cannot see revenue and margin by service line or by location

The system report and the bank statement should agree

A practice management system records every exam, vaccine and boarding night. The bank records deposits and card batches. When the two drift apart, the usual cause is timing: a card batch settles two days late, a client pays on account, a refund posts in a different period. Finbryn reconciles each day's system deposits to the bank each month, line by line, so unexplained differences are investigated rather than rolled forward.

Revenue by service line, cost where it belongs

Owners need to know whether surgery, wellness visits, diagnostics, boarding or grooming carry the practice. We map the transaction codes from Cornerstone, AVImark or ezyVet into income accounts by service line, so the profit and loss reads the way the clinic works.

Pharmacy and retail inventory is the other place margin hides. Purchases go to inventory, not straight to expense, and cost of goods sold is recognized as items are dispensed or sold. A periodic count is compared with the system on-hand report and the shrink is booked. Controlled-substance logs are a clinical record that stays with your team; we do not review them.

Wellness plans and deposits

A wellness plan is a twelve-month contract, but payments and services rarely line up month by month. Under ASC 606, cash received ahead of the covered services is a contract liability, and revenue is recognized as the visits and services in the plan are delivered. When a plan front-loads vaccines and exams, the reverse can happen, and the schedule tracks that too. We keep a schedule of plan balances and release them as services are used, using the same method as our deferred revenue work. Boarding deposits and prepaid packages follow the same treatment.

Groups, associates and a future sale

Small groups tag each clinic as a location so every report can be run by site and rolled up. Associate production-based pay is tracked in a schedule that agrees to payroll. If an owner is preparing to sell, we assemble a financial pack of monthly statements, add-back support schedules and a reconciled trial balance for the buyer's side. We do not value the practice or give a view on price.

Working with Finbryn

The practice keeps its QuickBooks Online file. A named pod handles the account, and each close ends with a short owner report. Clinics with a backlog start with a catch-up project, then move to monthly bookkeeping. See pricing.

Questions

Frequently asked questions: Veterinary practices

How do you treat wellness plan payments?

As deferred revenue under ASC 606. Payments received sit as a liability and are released to income as covered services are delivered, from a schedule reconciled to the ledger each month. Checked 2026-10-09.

Can you separate pharmacy cost of goods from clinic expenses?

Yes. Pharmacy purchases go to inventory and cost of goods is recognized when items are dispensed, with periodic count differences booked as shrink.

Do you help with controlled-substance records?

No. Controlled-substance logs are clinical records that stay with your team. We handle the financial side of those purchases only.

Can you prepare financials for a practice sale?

Yes: monthly statements, add-back support and a reconciled trial balance for the buyer's side. We do not value the practice or advise on price.

Do you support multi-location groups?

Yes. Each clinic is tagged as a location so every report runs by site and rolls up to the group.

Can you reconcile our practice management deposits to the bank?

Yes. Daily deposits and card batches from the practice management system are matched to bank activity each month.

Do you report revenue by service line?

Yes: exams, surgery, lab, pharmacy, boarding and grooming, mapped from the system's transaction codes into the ledger.

What are the common bookkeeping challenges for a veterinary practice?

Pharmacy cost of goods, wellness plan timing and deposits that never match the system report come up most. We build the chart of accounts and close checklist around them.

What software do you support for veterinary practices?

We work inside QuickBooks Online alongside practice management systems such as Cornerstone, AVImark and ezyVet, using their reports. If you have no file yet, we set one up in the practice's name.
