Reviewer's note

Software is up on last month after two seats were added mid-month. Revenue includes one milestone invoice that will not repeat next month.

Where the books usually hurt

  • Weekly payroll goes out long before client invoices are paid, so cash and the books drift apart

  • Bill rate, pay rate and burden are tracked in the staffing system but never tied out to the general ledger

  • Factoring or payroll-funding advances, reserves and fees land in the books as one lump of cash

  • Workers' comp premiums are estimated up front and the year-end audit adjustment arrives as a surprise

The payroll runs weekly and the invoices arrive later

A staffing agency pays its people every week and collects from clients 30, 45 or 60 days afterwards. Between those two dates sits a pile of receivables, accrued payroll and sometimes a funder's advance, and the general ledger usually shows only the bank balance. The staffing system knows who worked where; the ledger knows what hit the bank. Nobody reconciles the two.

Finbryn starts with that tie-out. Each month the payroll register and the billing register from Bullpen, TempWorks or Avionte are matched to the ledger by client and assignment, so billed revenue, wages, employer payroll taxes and the payroll tax liabilities all agree. The payroll itself still runs in your own system, with your own process. We read it, we do not run it.

Margin by client, placement and recruiter

The number an owner actually wants is gross margin by client. It needs bill rate, pay rate and a burden rate that loads in employer taxes, unemployment contributions and workers' comp. We maintain the burden rate as a schedule you can inspect and update, and report margin by client, by placement and by recruiter once per month.

Factoring, funding and workers' comp

If you factor invoices or use a funding arrangement, each advance, reserve release and fee is recorded as its own line, not netted into cash. The funder's statement is reconciled to the ledger so you can see what you are really paying for early cash. Workers' comp is estimated by class code through the year, then compared with the insurer's premium audit. We prepare the class-code payroll allocation the audit asks for and book the adjustment when it lands.

Worker classification, W-2 versus 1099, is tracked as a flag on each worker record so reports can split the two. It is a tracking field, not a legal determination; the IRS guidance on classification and your counsel decide the question. Payroll tax deposits follow IRS Publication 15.

Interim audits and PEO arrangements

Staffing accounts get audited more often than most. SFM's audit standards for the Wisconsin Worker's Compensation Insurance Pool require an interim audit and a final physical audit for every employee-leasing and temporary-labor account, whatever the premium (SFM, read 2026-10-19); other carriers set their own rules. If a PEO runs part of your payroll, we keep both sets of reports. Finbryn organizes the payroll-by-client records and can attend your premium audit with you where your carrier allows it. We do not sell or advise on insurance coverage, and your carrier assigns class codes.

How the work runs

You keep your QuickBooks Online file. A named pod handles the account on a monthly close calendar agreed at onboarding, and the funding and AR reconciliations are part of each close. Agencies with a backlog of unreconciled weeks usually begin with a catch-up project, then settle into monthly bookkeeping with payroll journal reconciliations. Pricing is on the pricing page.

Questions

Frequently asked questions: Staffing agencies

Can you reconcile Bullpen, TempWorks or Avionte payroll to QuickBooks?

Yes. We use the payroll and billing registers those systems export and tie them to the ledger by client each month, flagging any week where wages, taxes or billed revenue disagree. Checked 2026-10-09.

Do you run payroll or provide funding?

No. Payroll runs in your own system and any funding comes from your funder. We reconcile both to the books and report on them.

How do you handle workers' comp premium audits?

We accrue premium by class code during the year and prepare the payroll-by-class schedule the insurer's audit requests, then book the true-up when the audit result arrives.

Can you decide whether a worker is an employee or a contractor?

No. Classification is a legal question for you and your counsel, guided by IRS Publication 1779. We track each worker's status so reports split cleanly.

What does a staffing agency close include?

Payroll and billing tie-out, AR aging by client, funding reconciliation, workers' comp accrual and a margin report by client.

Does my staffing agency need an interim audit during the year?

That depends on your carrier. SFM's published audit standards for the Wisconsin Worker's Compensation Insurance Pool require an interim audit and a final physical audit for every employee-leasing and temporary-labor account, regardless of annual premium (SFM, read 2026-10-19), and other carriers differ, so ask yours. We keep the payroll-by-client and class-code schedules current each month, so an interim audit is a records pull and not a rebuild. Your carrier assigns class codes.

Do you reconcile the staffing system to the general ledger?

Yes. Billing and payroll registers from the staffing system are tied to the ledger each month, by client and by assignment.

Can you track gross margin by client?

Yes, using bill rate, pay rate and a burden rate for payroll taxes and workers' comp, so margin per client and per placement is visible.

What are the common bookkeeping challenges for a staffing agency?

Funding advances that blur cash, payroll liabilities that do not tie to filed quarterly returns, and workers' comp accruals that miss the audit adjustment come up most often. We build the chart of accounts and month-end checklist around those specific patterns.

What software do you support for staffing agencies?

We work inside QuickBooks Online alongside staffing systems such as Bullpen, TempWorks and Avionte, using their exports. If you have no file yet, we set one up in your name so you own it from day one.
