Cash basis bookkeeping

Cash basis bookkeeping records income when it lands in the bank and expenses when they are actually paid, so your books match your bank balance. Finbryn keeps cash-basis books in QuickBooks Online, Xero or Wave for US small businesses that want simple, easy-to-read reports, reconciled every month and reviewed by a senior reviewer before they reach you.

What is included

  • Income recorded when received, expenses recorded when paid
  • Bank and card accounts reconciled every month
  • A cash-basis profit and loss statement
  • A cash-basis balance sheet
  • Sales tax and other pass-through items tracked separately from revenue
  • An open-items list for anything that cannot be coded from the records alone
  • A simple report set a lender or tax preparer can read at a glance

The process

  1. 1.

    Pull the month

Bank, card and payment-processor activity is imported once statements are available after month end.

  2. 2.

    Record on a cash basis

Income is booked as it is received and expenses as they are actually paid, with no accrual-only entries in the ledger.

  3. 3.

    Separate pass-through items

Sales tax collected, customer deposits and loan proceeds are moved to their own accounts, out of operating revenue.

  4. 4.

    Flag open items

Unmatched deposits or unfamiliar vendor payments go on a short list for you to answer before close.

  5. 5.

    Reconcile and review

Every account is reconciled to its statement, then reviewed by a senior reviewer for anything coded on an accrual basis by mistake.

  6. 6.

    Deliver reports

A cash-basis profit and loss statement and balance sheet are delivered on the agreed close date.

Quality control

A senior reviewer reviews the file before it goes out, checking that nothing has been coded as an accrual item by mistake, such as a bill entered as an expense before it was actually paid.

Pricing

Cash basis bookkeeping is priced on the same transaction-volume tiers as monthly bookkeeping generally, published at /us/pricing. Because there are no receivables or payables to maintain between periods, a cash-basis file is typically the lighter end of the bookkeeping scope, and your exact fee is confirmed in writing before work begins.
