Who should I outsource my bookkeeping to?
If you searched for the best outsourced bookkeeping companies, or the top firms that provide this in the USA, here is the straight answer: no list can pick one for you. The right provider depends on your software, your monthly transaction count, whether you keep cash or accrual books, and who signs your tax return. Those four facts change the answer more than any brand name does.
Most "top" lists have a second problem: you can't tell who paid for the order. The FTC's Endorsement Guides say that when a connection between an endorser and a marketer would surprise a significant minority of readers and would change how they weigh the endorsement, it should be disclosed clearly. If a ranking doesn't say whether it was paid for, read it as advertising.
This page ranks nobody, Finbryn included. It gives you twelve checks, and each one ends in something you can verify yourself: a lookup, a document, a login or a sample. Run all twelve on every provider on your shortlist, then put the answers side by side. Finbryn gets its own row in the comparison that follows, held to the same test as everyone else, and the section on who Finbryn isn't for is there to save you a call.
Provider types compared, Finbryn included
The cost column uses only figures traced to a source listed at the foot of this page. Where no public source exists, the cell says so instead of guessing.
| Provider type | What it costs | What you get | What to watch |
|---|---|---|---|
| In-house bookkeeper | Full charge bookkeeper: $67,000 to $86,500 a year, midpoint $75,000 (Robert Half 2027 Salary Guide); BLS median for bookkeeping clerks, $50,670 (May 2025); benefits on top | One person who learns the business | Sick days, turnover, no backup; you buy and manage the software |
| Local bookkeeper or accounting practice | Quoted by the hour or month; no public US source gives a range, so none is shown | Someone nearby who may also sign your return | Capacity in busy season; whose name is on the QuickBooks or Xero account |
| National outsourced firm | Published starting prices from $99 to $1,250 a month at the seven providers in our cost index, checked September 29 and 30, 2026 | A team, a repeatable close, a price list | Volume caps, extra charges for catch-up, plans with no named person |
| Freelancer | Hourly or flat; no public US survey covers freelance bookkeepers, so none is shown | Flexibility and a direct line to the person doing the work | Continuity if they're unavailable; whether the file is in your name |
| Finbryn | Essentials $249 a month, Growth $549 a month, Scale quoted (rate card, published September 29, 2026) | A named pod, a close date agreed in your engagement letter, a second person reviewing each close | Remote delivery; no SOC report yet; no in-person visits |
A salary also understates what an employee costs. The Bureau of Labor Statistics reported that employer costs for civilian workers averaged $49.46 an hour in June 2026: $33.85 in wages and $15.61 in benefits (BLS, released September 9, 2026). That's an all-occupation average, not a bookkeeper figure, so read it as the direction of the gap rather than its size.
Checks 1 to 3: the file, the software and the people
Check 1. Who owns the file. Ask whether the QuickBooks Online or Xero subscription is in your name, with the provider invited as a user. To verify, log in yourself before you sign and open the user list. Intuit describes the primary admin as the person with access to every part of the account who can manage everyone else (Intuit, updated September 8, 2026). In Xero, ask who the subscriber is. If the provider holds either role, you're a guest in your own books.
Check 2. Standard software or the provider's own platform. Ask whether your ledger lives in a mainstream tool you can log into without the provider. Verify with a test: request a full export of the general ledger, trial balance and attachments during onboarding, before you need it. A closed platform concentrates risk in one company's survival. Our switching guide covers the December 2024 shutdown that showed why.
Check 3. Who does the work and who reviews it. Ask for the name and role of the person who codes your transactions and the person who checks the close. If a credential is claimed, verify it at the source. CPAverify, run by NASBA, searches CPAs and accounting firms using licensing data sent by the state boards, and it carries enforcement and disciplinary markers (NASBA, August 21, 2024). Then ask what happens when your bookkeeper leaves. Finbryn's Growth tier records a handover memo on any change; ask every provider for the equivalent in writing.
Checks 4 to 6: the close, the method and the security evidence
Check 4. The close calendar and the monthly package. Ask which business day the books close and what arrives that day: a profit and loss statement, a balance sheet, a reconciliation status by account and a note on anything unusual. Verify with a redacted package from a real month and the last three close dates for a client your size. Whatever date a provider quotes, get it into the engagement letter.
Check 5. Cash or accrual, and whether it matches your return. Ask which method the books will use and who decides when it should change. Verify against your tax filings: books and return should share a method, or the differences should sit on a schedule. IRS Publication 538 (January 2022 edition) says a corporation or partnership that fails the gross receipts test for a tax year can't use the cash method and must switch to accrual (IRS). For tax years beginning in 2026 that test is an average of $32,000,000 or less over three years (Rev. Proc. 2025-32). Our cash vs accrual guide covers the choice.
Check 6. Security evidence. Ask for a SOC 2 or SOC 1 report, a written information security program and proof of multi-factor authentication. The AICPA describes SOC 2 as an examination of controls at a service organization relevant to security, availability, processing integrity, confidentiality or privacy (AICPA). A Type 1 report covers one date and a Type 2 covers a period. It's a CPA's report with an opinion, not a certificate, so read the opinion, the period and any exceptions. The IRS notes that the FTC Safeguards Rule treats tax and accounting professionals as financial institutions regardless of size, which means a written plan, multi-factor authentication and notice to the FTC within 30 days of a security event affecting 500 or more people (IRS Publication 5708).
Checks 7 to 9: your data, your exit and your price
Check 7. Which vendors touch your data. Ask for the list of tools that see your bank feeds, receipts and payroll, and where files are stored. Verify by getting the vendor list and an access list by role in writing. The FTC Safeguards Rule expects a firm to oversee its service providers, including selecting ones that can maintain safeguards and requiring that by contract (16 CFR 314.4). Finbryn lists its controls, each marked in place, in progress or planned, on its security page.
Check 8. Exit terms and your records. Ask what you receive if the relationship ends, and get it into the engagement letter before you sign: admin access to the file, a reconciliation status by account, source documents, prior-period statements and open items. For practitioners such as attorneys, CPAs and enrolled agents, Circular 230 section 10.28 requires returning client records needed for federal tax compliance on request, and a fee dispute generally doesn't excuse the delay (31 CFR 10.28). A bookkeeping vendor outside those groups isn't covered by that section, so the contract has to carry the promise.
Check 9. The pricing model. Ask for a written quote that names every variable: monthly transaction band, bank and card accounts, entities, cash or accrual, payroll, sales tax and catch-up months. Verify by sending two providers identical numbers and comparing like with like. Finbryn states its caps on the rate card: Essentials covers up to $50,000 in monthly expenses, Growth up to $150,000, and Scale is quoted after a call.
Checks 10 to 12: catch-up work, continuity and references
Check 10. Catch-up and onboarding. Ask how backlog months are priced and what the provider does first. Verify with a written per-month rate and a start date. Delay carries a record risk as well as a cost. The IRS says records supporting a return should be kept at least 3 years from filing, and employment tax records at least 4 years (IRS), so a gap in your books is a gap in that file. Finbryn's rate card lists catch-up at $249 per backlog month, quoted after it has seen the accounts. See our catch-up bookkeeping guide.
Check 11. Continuity. Ask what happens if your named person leaves, takes leave or the company closes. Verify by finding the clause in the contract. The strongest protection is structural: when the file is yours (check 1) and the exit pack is defined (check 8), a provider failing is an inconvenience instead of a crisis.
Check 12. References and reviews. Ask for two references with similar volume and the same software, and call them. Treat star scores with care. The FTC's Consumer Reviews and Testimonials rule, effective October 21, 2024, prohibits fake reviews, paying for reviews that express a set sentiment and distributing fake social media followers (FTC). It can't tell you how a provider performs for a business like yours. A reference call can.
Where Finbryn fits, and who it isn't for
Finbryn sits in the national outsourced group, and its own row above applies the same test to it. It keeps your books in your own QuickBooks Online or Xero file, assigns a named pod and has a second person review each close before it reaches you. The monthly tiers are on the pricing page. Where the work is done and which controls are in place are answered on the security page and in the how it works FAQ. Tax return work is prepared for review and signature by a credentialed preparer, and the about page shows who.
Finbryn is probably the wrong choice if:
- You want a bookkeeper who visits your premises. Delivery is remote.
- You need a SOC report in hand before you sign. On October 8, 2026 the security page lists SOC 2 Type I as planned, not complete.
- You want one flat price for unlimited volume. The tiers have expense caps, and larger or multi-entity books are quoted.
- You need audit, review or compilation reports. Finbryn doesn't issue them; it prepares the books and schedules the CPA doing that work will ask for.
- You want published client reviews to read first. Finbryn has none to show yet.
The 30-minute call: one script for every provider
Use the same script with each provider, Finbryn included, and write the answers down. Don't sign on the call.
- Minutes 0 to 5, people: who codes my transactions, who reviews the close, and what happens when either of them leaves?
- Minutes 5 to 10, ownership: share your screen and show me the user list. Who is the primary admin or subscriber?
- Minutes 10 to 15, the close: which business day do the books close, and can I see a redacted monthly package?
- Minutes 15 to 20, security: can I read your SOC report or written security program, and who holds the multi-factor authentication policy?
- Minutes 20 to 25, money: given my transactions, accounts and entities, what is the monthly price in writing, and what costs extra?
- Minutes 25 to 30, exit: read me the clause that returns my records, and name two references like me.
Afterwards, mark each of the twelve checks yes, no or unclear. Unclear counts as no until the provider puts it in writing. Compare the sheets a day later, then ask the provider with the most "no" marks to fix them before you rule it out. A contract clause that changes on request is a good sign.
Ask a provider whether migration services are part of the engagement or a separate project.
Run your volumes through the bookkeeping cost calculator before comparing quotes.
A provider should say which platforms it works in, including Zoho Books bookkeeping.
Questions
Frequently asked questions
Who are the top outsourced bookkeeping companies in the USA?
No honest list ranks them for every business. National providers publish starting prices from $99 to $1,250 a month (seven providers, checked September 29 and 30, 2026), and they differ on software, staffing and volume caps. Shortlist two or three on those facts, then run the twelve checks above. Our cost index lists each provider's published tiers with the date checked.
How much does outsourced bookkeeping cost in the US?
Published starting monthly prices at seven national providers ran from $99 to $1,250 when checked on September 29 and 30, 2026. Finbryn's published tiers are $249 and $549 a month, with larger books quoted. Price rises with transaction volume, accounts, entities, payroll and catch-up months.
Is outsourcing cheaper than hiring a bookkeeper?
For one function, usually. Robert Half's 2027 Salary Guide puts a full charge bookkeeper at $67,000 to $86,500 with a $75,000 midpoint, before benefits, and BLS found benefits averaging $15.61 an hour on top of $33.85 in wages across civilian workers in June 2026. An employee also does other work, so compare scope as well as price.
Does my bookkeeper need to be a CPA?
It depends on what they sign. Anyone paid to prepare a federal tax return needs a PTIN for 2026, per the IRS, and a review or audit report must come from an independent CPA, per the AICPA. Ask who signs each deliverable, then look that person up at CPAverify or in the IRS preparer directory.
What is a SOC 2 report, and should my bookkeeper have one?
A SOC 2 report is a CPA's examination of a provider's controls over security, availability, processing integrity, confidentiality or privacy, per the AICPA. It isn't a certificate. Type 1 covers one date, Type 2 a period. Ask for it under confidentiality. Finbryn has none yet; its security page, checked October 8, 2026, lists SOC 2 Type I as planned.
What should I get from a bookkeeper when we part ways?
Admin access to your QuickBooks Online or Xero file, a reconciliation status by account, source documents, prior-period statements and a list of open items. For attorneys, CPAs and enrolled agents, Circular 230 section 10.28 requires returning client records needed for tax compliance on request (31 CFR 10.28, current October 1, 2026). For other vendors the engagement letter has to say it, so settle it before you sign.
Can I keep my existing QuickBooks or Xero file when I switch providers?
Yes, if the subscription is in your name. Add the new provider as a user, then remove the old one; Intuit's help article, updated September 8, 2026, explains how a primary admin role is changed. Our switching guide covers timing around filing deadlines.
