Where expense management fits
Corporate card programs like Ramp and Brex move fast, and receipts do not always keep up. Left alone, that gap turns into a pile of uncoded transactions at month end. We code transactions as they post through the feed from Ramp, Brex or Expensify, rather than waiting for a backlog to build.
Matching receipts, not just guessing categories
Every card transaction gets matched to a receipt where one exists, and coded to the account that best fits the underlying purchase, not a generic catch-all. Where a receipt is required under your policy and none has been provided, the transaction goes on a short list sent to the employee who made the purchase, with enough time to respond before close.
Reimbursements
Out-of-pocket expenses submitted through Expensify or your accounting software are reviewed against your policy limits and queued for payment through the same approval flow as vendor bills, so employee reimbursements do not become a separate, forgotten process.
Sales tax and 1099 implications
Some card spend, such as payments to independent contractors routed through a corporate card rather than a bill, still counts toward 1099 reporting thresholds. We flag card payments that look like they belong to a tracked vendor so they are not missed simply because they went through a card instead of accounts payable.
What you see each month
A spend summary by category and by cardholder is available at close, alongside the missing-receipt list and any policy exceptions. If your team is new to a corporate card program, we can help set spend limits and categories during onboarding, though the policy decisions stay with you.
Questions
Frequently asked questions: Expense management (Ramp, Brex, Expensify)
Do you enforce our expense policy or just report on it?
We flag exceptions against the policy you give us, such as a purchase over a set limit or missing a receipt. Enforcing a limit inside Ramp or Brex is a settings decision you make in that platform.
What if an employee never sends a receipt?
It stays on the missing-receipt list past month end, coded to the most reasonable account in the meantime, until you or the employee resolve it.
Can you set up Ramp or Brex for us if we do not have a card program yet?
We can help with the accounting-side setup, such as connecting the feed to QuickBooks Online or Xero and mapping categories, once you have chosen and opened the account.
What does expense management (Ramp, Brex, Expensify) actually include, month to month?
Expense management (Ramp, Brex, Expensify) covers card transactions coded to your chart of accounts as they post, along with receipts matched to transactions inside Ramp, Brex or Expensify. The work runs inside Ramp, Brex, Expensify, QuickBooks Online or Xero, the file stays under your own subscription, and a senior principal reviews the output before it reaches you each period.
What access do you need to start expense management (Ramp, Brex, Expensify)?
View or edit access to Ramp, Brex, Expensify, QuickBooks Online or Xero is enough to begin; nothing about your existing subscription or login changes on our side. Any additional access needed for a specific deliverable, such as a bank portal or receipt inbox, is agreed with you first, and the scope is set out in your engagement letter.
Do you set spending limits or approve purchases?
No. Card limits and purchase approvals are policy decisions you make inside Ramp, Brex or Expensify. We code and reconcile the spend those tools record.
What happens to expenses with no receipt?
They go on a short list we send to the employee involved. Anything still unresolved at close is coded to the most reasonable account and flagged as an open item.
What software works with expense management (Ramp, Brex, Expensify)?
Expense management (Ramp, Brex, Expensify) runs inside Ramp or Brex, whichever you already use. If you are not yet set up in either, we can configure a file in your name so you keep ownership of it once the engagement is under way.
How do we get started with expense management (Ramp, Brex, Expensify)?
Getting started with expense management (Ramp, Brex, Expensify) begins with a short review of your current records and software access. Once that is done we confirm scope and timing in writing, and ongoing work begins on the schedule agreed with you.
