Why review a pay run before it goes out
Gusto, ADP, Rippling and Deel are all built to calculate withholding and file the resulting federal and state forms correctly once you hit approve. What they will not catch on their own is a rate change that was never entered, a bonus that landed on the wrong pay period, or a new employee whose state was set up incorrectly. We check the draft run against your timesheets, offer letters and any bonus or commission schedule before it is approved, so the correction happens before money moves, not after.
What happens after approval
Once a run is approved, we post the payroll journal entry to QuickBooks Online, Xero, NetSuite or Sage Intacct: gross wages, employer and employee tax withholdings, benefit deductions and the net pay clearing entry. Employer payroll tax liability accounts and any accrued but unpaid payroll at month end are reconciled against the platform's own reports, consistent with US GAAP accrual treatment where your books run on accrual.
Setup and platform choice
If you have not chosen a platform yet, we look at headcount, how many states are involved, and whether contractor payments need to run through the same system, then recommend one. New-hire and contractor records get checked in the platform before the first pay run so nothing is missing when the run is calculated.
Multi-state and remote hires
A remote hire in a new state usually means a new state withholding and unemployment account. We flag it the moment it shows up in a draft run. Registering the account itself happens through the payroll platform's onboarding flow or directly with the state; our role is catching it early enough that the first pay run is not the place you find out.
What this does not include
We do not run payroll ourselves, hold the platform's administrator credentials in a way that lets us initiate a pay run, or sign any federal payroll tax form. The platform transmits Forms 941, 940 and state equivalents under its own systems. Contractor payments and year-end information-return data are covered separately under contractor payments.
