Budgeting
Annual budgeting for US businesses builds a month-by-month plan from your actual historical numbers, broken out by department or location where it matters, then tracks real performance against it every month so variances get explained instead of discovered at year end.

A budget your business will actually use
A budget that sits in a spreadsheet nobody reopens until next year is not doing its job. We build the annual budget from your historical actuals in QuickBooks Online, Xero or NetSuite, tied to a specific growth or staffing plan you give us, so the numbers reflect a real decision rather than a percentage increase applied across the board.
Structure that matches your business
A single-location professional services firm needs a simpler budget than a multi-unit restaurant group or a manufacturer running several product lines. We break the budget out by department, location or product line where that split changes the decisions you make, and keep it simple where it does not.
The monthly discipline
Once the budget is set, the real value comes from comparing it to actuals every month: which line items ran ahead, which fell behind, and why. That budget-versus-actual review is what turns a budget from a once-a-year exercise into a tool you check monthly, and it feeds directly into FP&A work if you want ongoing analysis rather than just the comparison.
When a revised forecast makes more sense
If conditions change enough that the original budget stops being a useful yardstick, such as a large new contract or a supply cost spike, we build a revised forecast alongside the fixed budget so you can see both: what you originally planned for, and what is realistic now. State franchise tax and estimated federal tax payment dates are built into the calendar behind every budget, so cash for those payments is planned for rather than a surprise. See pricing for how budgeting work is scoped.
Questions
Frequently asked questions: Budgeting
When should we build next year's budget?
Most US businesses start budgeting a month or two before their fiscal year begins, using the prior 9 to 12 months of actuals as the base. A calendar-year business typically starts the process in October or November.
Do you include federal and state estimated tax payments in the budget?
Yes, as cash outflows on the calendar they are due, since quarterly estimated payments are one of the more common causes of a cash surprise if they are not planned for.
Can the budget be broken out by location for a multi-unit business?
Yes. Multi-location and multi-entity budgets roll up to a consolidated total while keeping each location's own budget and actuals visible separately.
What happens if we blow past the budget in one area?
We flag it in the monthly review, explain what drove it, and help you decide whether it is a timing issue, a one-off, or a sign the budget itself needs revising.
What does budgeting actually include, month to month?
Budgeting covers an annual budget by month, built from historical actuals and your growth plan, along with department or location-level breakout where relevant. The work runs inside Excel, Google Sheets, QuickBooks Online, Xero or NetSuite, the file stays under your own subscription, and a senior principal reviews the output before it reaches you each period.
When during the year should we build a budget?
Businesses often build it a month or two before their fiscal year starts, but a mid-year budget is still useful as a reset.
Do you update the budget once it is set?
The budget itself stays fixed as the baseline. We track actual performance against it monthly and build a separate revised forecast when conditions change.
Can the budget cover multiple locations or entities?
Yes. Multi-location and multi-entity budgets roll up to a consolidated view while keeping each unit's numbers visible.
What software works with budgeting?
Budgeting runs inside Excel or Google Sheets, whichever you already use. If you are not yet set up in either, we can configure a file in your name so you keep ownership of it once the engagement is under way.
