Bookkeeping, Tax Preparation Support and Virtual CFO Services for Philadelphia Businesses

Remote service for Philadelphia businesses, contracted in the United States.

Short answer

Finbryn provides outsourced bookkeeping, tax preparation support and virtual CFO work for Philadelphia businesses, working inside QuickBooks Online or Xero. We keep the Business Income and Receipts Tax, which lost its $100,000 exemption for tax year 2025, and the Wage Tax at 3.735 percent for residents from July 1, 2026, current in your ledger. Returns are prepared for review and signature by a credentialed preparer.

Philadelphia stacks a city business tax on top of Pennsylvania's own, and the city side changed in 2025. A restaurant in Fishtown, a physical therapy practice in University City and a two-person design studio in Center City each owe the Business Income and Receipts Tax, known as the BIRT, and each needs a Commercial Activity License before doing business in the city. Add the Wage Tax, which has its own return, its own deposit schedule and a rate that moved again on July 1, 2026, and a generic Pennsylvania bookkeeping file will miss something by the second quarter.

Finbryn is not a Philadelphia firm and has no Philadelphia office. Work is contracted through Northlane Solutions Inc, a Delaware company, and delivered remotely. The ledger lives in QuickBooks Online, Xero or the software you already use, and you own it.

This page walks through the BIRT after the $100,000 exemption ended, the Wage Tax deposit rules, Pennsylvania's own taxes, the industries behind the books, the suburbs and the New Jersey and Delaware side of the river, and what a Philadelphia hire costs.

The BIRT after the $100,000 exemption ended

The Business Income and Receipts Tax has two parts, one on gross receipts and one on net income. For tax year 2025 the city lists 1.410 mills on gross receipts, which is $1.41 for every $1,000 of Philadelphia receipts, and 5.71 percent on taxable net income. The city announced in June 2025 that the gross receipts rate keeps falling each year until it's eliminated in 2038.

The bigger change is the exemption. Since tax year 2016 the first $100,000 of Philadelphia receipts was exempt, so many small businesses filed and paid nothing. Because of a legal challenge, the city can no longer offer it from tax year 2025, which makes the returns due April 15, 2026 the first ones without it. The city's own flyer points to two offsets: a credit against the Net Profits Tax worth 60 percent of what was paid on the net income part of the BIRT, and loss carryforwards of up to twenty years.

Second-year filers can pay estimated tax in installments due April 15, June 15, September 15 and January 15. Those are four cash dates the books should forecast, not discover. The city also lists free tax preparation for eligible small businesses; if you qualify, use it, and bring us in for the monthly ledger work instead.

The Wage Tax and the Philadelphia Tax Center

Philadelphia employers withhold the city Wage Tax and file through the Philadelphia Tax Center. From July 1, 2026 the rate is 3.735 percent of wages for residents and 3.425 percent for nonresidents, down from 3.74 and 3.43 percent a year earlier. Deposit frequency depends on monthly withholding: under $350 is quarterly, $350 to $16,000 is monthly, and above $16,000 is semi-monthly or weekly depending on the payroll cycle. The 2026 quarterly returns are due April 30, July 31, October 31 and February 1, 2027, and the fourth quarter counts as the final reconciliation, so there's no separate annual return.

For the books, that means payroll has to split resident and nonresident wages by employee, and the withholding liability account has to tie to the deposits, not only to the returns. A practice with some staff who live in the city and others who live in Delaware County or Camden County will have both rates in one pay run.

Pennsylvania's layer: corporate tax, income tax, sales tax and the annual report

Pennsylvania's Corporate Net Income Tax is 7.49 percent for tax years beginning in 2026, down from 7.99 percent in 2025, and it steps down by half a point a year to 4.99 percent from 2031. The personal income tax is a flat 3.07 percent, and the Department of Revenue applies it to residents, nonresidents and pass-through entities, so an LLC or S corporation owner needs the same ledger detail a corporation does. Sales tax is 6 percent statewide plus 2 percent local in Philadelphia, 8 percent in the city. A business selling taxable items needs a Sales, Use and Hotel Occupancy Tax license, and returns are filed through myPATH even for a period with no taxable sales.

Since 2025 most Pennsylvania entities also file an annual report with the Department of State for $7: LLCs between January 1 and September 30, corporations between January 1 and June 30, and other entities by December 31. Pittsburgh businesses face the same state layer with a different city layer, which the Pittsburgh page covers.

Eds and meds, and the other businesses behind the work

Hospitals, universities and the practices around them anchor much of the local economy, and they generate the bookkeeping this page is written for: group practices that keep patient receivables apart from insurance reimbursements, research spin-outs with grant money to track by funder, and nonprofits with restricted funds and a Form 990 due May 15. Restaurants and bars across Center City, Fishtown and South Philadelphia collect the 8 percent sales tax and run on thin margins where a reconciliation slip shows up quickly. Professional-services firms owe both the receipts part and the net income part of the BIRT, so the monthly close should track Philadelphia receipts separately from the rest.

Contractors and property managers add job costing and per-building books. Landlords and anyone who occupies business property should also know that the city ended the $2,000 Use and Occupancy Tax exemption in January 2026.

Beyond the city line: Pennsylvania suburbs, Camden County and Wilmington

The Census Bureau's Philadelphia metro runs from Bucks County to Salem County in New Jersey and Cecil County in Maryland, and it includes New Castle County in Delaware. The places this page covers include Conshohocken, King of Prussia and Norristown in Montgomery County, West Chester and Malvern in Chester County, Media and Wayne in Delaware County, Doylestown and Newtown in Bucks County, Camden and Haddonfield in Camden County, New Jersey, and Wilmington in New Castle County, Delaware.

The BIRT applies to business activity conducted in Philadelphia, and so does the license: the city requires a Commercial Activity License of any person or entity doing business there, including businesses located outside the city limits. It's free and doesn't need renewal. A King of Prussia contractor that works jobs in the city may need both. A Camden County firm may also face New Jersey filings that this page doesn't cover.

What a Philadelphia hire costs

The Bureau of Labor Statistics counts 29,370 jobs for accountants and auditors in the Philadelphia-Camden-Wilmington metro at a mean annual wage of $96,100 in its May 2025 estimates. Bookkeeping, accounting and auditing clerks number 22,660 at a mean of $55,250, financial managers 18,520 at a mean of $185,750, and tax preparers 1,150 at a mean of $68,730. Payroll tax, benefits, software seats and a recruiting cycle all come on top of those salaries.

A monthly Finbryn plan covers the bookkeeping seat, or the gap next to one. It doesn't put a person at a desk in your Center City office. What it does is keep the BIRT, Wage Tax and sales tax accounts reconciled every month, so the April 15 filing isn't the first time anyone looks at them.

Dates for the next twelve months

October 15, 2026 is the extended federal deadline for C corporation and individual returns, and October 31 is the third-quarter Wage Tax return. January 15, 2027 is both the fourth-quarter federal estimated tax payment for individuals and a BIRT installment date for second-year filers. February 1, 2027 brings the fourth-quarter Wage Tax return and Form 1099-NEC, moved from January 31 because that date falls on a Sunday. S corporation and partnership returns are due March 15, 2027. April 15, 2027 is the due date for BIRT returns for tax year 2026 and for federal C corporation and individual returns, and the Pennsylvania annual report for LLCs closes September 30, 2027. City dates come from the Department of Revenue pages and federal dates from IRS Publication 509, all checked on October 8, 2026.

How the work runs

Finbryn has no Philadelphia office, and nobody visits your location. You send documents through a client portal, bank and card feeds connect read-only, and a named team closes the month in the software you already use. Anything that needs a signature goes to a credentialed preparer, who signs as preparer of record; the about page has the credentials. Representation before the IRS, the Pennsylvania Department of Revenue or the city comes only from a CPA, enrolled agent or attorney.

Plans and a first call

Essentials is $249 a month for up to $50,000 in monthly expenses and Growth is $549 a month up to $150,000; larger or multi-entity files get a Scale quote. The pricing page shows what each plan includes. A first call covers your BIRT status, whether you hold a Commercial Activity License, who is on payroll and where they live, and your annual report date. Book on the contact page. Compare with Pittsburgh, Baltimore or New York, or see all cities on the locations hub.

Questions

Frequently asked questions: Philadelphia

Did Philadelphia's $100,000 BIRT exemption go away?

Yes, starting with tax year 2025. The city says a legal challenge means it can no longer exempt the first $100,000 of receipts, so businesses that owed nothing before had to file and pay for 2025 by April 15, 2026. The tax year 2025 rates are 1.410 mills on gross receipts and 5.71 percent on net income.

Do I need a Commercial Activity License if my business is outside Philadelphia?

If you do business in Philadelphia, yes, even when you're located outside the city. The license is free and doesn't need renewal. The application asks for your EIN or Social Security number and your BIRT tax ID, per the city's page checked on 2026-10-08.

How often do I deposit Philadelphia Wage Tax withholding?

It depends on monthly withholding: under $350 is quarterly, $350 to $16,000 is monthly, and above $16,000 is semi-monthly or weekly. The 2026 quarterly returns are due April 30, July 31, October 31 and February 1, 2027 through the Philadelphia Tax Center.

What is the sales tax rate in Philadelphia?

8 percent: Pennsylvania's 6 percent plus a 2 percent local tax added in Philadelphia, according to the Department of Revenue (checked 2026-10-08). Returns are filed through myPATH.

Does Finbryn have an office in Philadelphia?

No. Finbryn is remote and contracted through Northlane Solutions Inc, a Delaware company, with no Philadelphia office or local staff. The remote setup doesn't move any date: the Pennsylvania annual report for an LLC is still due by September 30 each year.

Does my Pennsylvania LLC have to file an annual report?

Most do. Since January 1, 2025, LLCs file with the Department of State between January 1 and September 30 for $7, and corporations file by June 30. Sole proprietors and general partnerships operating only under a fictitious name are exempt.

Who signs the Pennsylvania and Philadelphia returns?

A credentialed preparer signs as preparer of record. Finbryn prepares the ledger and the support schedules, and the BIRT return for tax year 2026 is due April 15, 2027. Representation before a tax authority comes only from a CPA, enrolled agent or attorney; the about page explains who signs.

How does a Finbryn plan compare with hiring a bookkeeper in Philadelphia?

BLS puts the mean wage for bookkeeping and accounting clerks in the metro at $55,250 as of May 2025, before payroll tax, benefits and software. Essentials runs $249 a month and Growth $549 a month on the pricing page we checked on 2026-10-08.
